Job description

Office Administrator - GOGGS

  • £14.30 per hour
  • 40 hours per week
  • Monday to Friday, 8am to 5pm

We're recruiting an experienced Administrator who is friendly, adaptable and can confidently manage general administrative duties on a full time basis, contracted to 40 hours per week.

Here's what you need to know before applying:

Your key responsibilities will include:

  • Answering telephones in a polite and professional manner
  • Producing regular reports, service updates and presentations
  • To be responsible for management and reporting for the cleaning services provided on the contract
  • Understand the contract specification and ensure due compliance.
  • Liaise with client and end users on services and building use.
  • Maintain records on service usage and report monthly to enable invoicing to be accurate. Record in systems to enable recharges to be applied.
  • Produce a monthly spreadsheet showing ad-hoc additional works to be invoiced.
  • Inputting of wages for the cleaning operatives, liaising with the Account manager for overtime and contractual hours.
  • Ensure that accurate records of staff attendance are maintained and check that all wages are paid in accordance with procedures and policies
  • Ensure all Health & Safety regulations are known and strictly adhered to at all times.
  • Monitor helpdesk activity. Allocate reactive tasks to staff, as necessary. Close of helpdesk tasks in line with contract requirements

Our ideal Administrator will:

  • Previous experience of budgetary control or in a similar role
  • IT/ Excel skills
  • Have excellent communication and organisational skills
  • Demonstrate brilliant time keeping and reliability
  • Be a committed and honest individual who always works to very high standards
  • Customer focused with the ability to develop positive relationships quickly and gain customer confidence management.
  • An autonomous self-starter, self-motivated and well disciplined
  • An analytical approach to problem solving and decision making.
  • Ability to prioritise and manage workload in a front line, sometimes reactive environment.
