Confidential is recruiting an Ocean Freight Coordinator based in Basildon, Essex. The role supports the Sea Freight Operations Team to execute daily duties and align with the Head of Ocean’s vision for a more competitive and profitable business.

The ideal candidate has proven Sea Export Freight Forwarding experience, strong IT skills, and excellent communication by phone and email. You will handle exports, cross-trade activities, customs declarations, invoicing, and maintaining SOPs while

Qualifications

• Proven Sea Export Freight Forwarding experience.
• Ability to prioritise own workload and work in a team.
• Fluent IT skills with Microsoft Office Suite and Excel reporting experience.
• Excellent telephone and email communication skills.
• Solid understanding of logistics processes and procedures.

Responsibilities

• Support Sea Freight Operations in daily duties and execution of plans.
• Complete export and cross-trade activities including financial and invoicing tasks.
• Correctly complete all customs export declaration forms.
• Ensure operational activities are completed on time.
• Report amendments to customs declarations to line manager as needed.
• Maintain and use the operational system at all times.
• Maintain regular communication with line manager and handover shipments.
• Assist in maintaining current SOPs for the department.
• Maintain excellent internal and external relationships with regular feedback.

Main Purpose of the Ocean Freight Coordinator:

Assist Sea Freight Operations Team in the execution of their daily duties & responsibilities and in support of the Head of Ocean s vision for the company to become more competitive and profitable.

Duties and Responsibilities of the Ocean Freight Coordinator:

• Understand and execute the departments vision of good business development in order to successfully move Sea Freight products.
• Complete all Export and Cross Trade activities correctly and on time including financial, legal and invoicing transaction.
• Correctly complete all customs export declaration forms.
• Ensure all operational activities are completed on time.
• Immediately report any amendments to the customs declaration forms to line manager.
• Maintain and utilise the operational system at all times.
• Maintain regular communication with line manager, reporting new sales leads and handover of shipments.
• Assist in maintain current SOPs for the department.
• Maintain excellent customer and inter-departmental relationships at all times giving regular feedback to line manager.
• Follow up late customer payments in conjunction with credit control.
• Communicate quotations to the line manager/sales team and ensure all quotations are recorded on the system in one format.
• Implement and improve new efficiencies in customer workflow in conjunction with line manager.
• Accurately complete all invoicing for exports and clients within 48 hours of final activity.
• Ensure insurances are charged correctly and any insurance claims are handed to line manager without delay.

To be Considered for the Ocean Freight Coordinator:

• Proven Sea Export Freight Forwarding experience
• Be able to prioritise own workload but also be able to work as part of a team
• Be fully conversant in IT skills e.g., Microsoft Office Suite (Word, Excel) and systems with experience of Excel reporting
• Have excellent communication skills over the telephone and e-mail
• Have good understanding of logistics processes and procedure
