Job summary

Berkshire Healthcare NHS Foundation Trust in Reading is seeking a Medical Secretary for a 3‑month temporary period with the potential extension. The role supports a Consultant Psychiatrist, managing outpatient diaries, inputting appointments in RiO, handling referrals, and preparing meeting materials.

Required are Medical Secretary experience, GCSE English and Maths (or equivalent NVQ 3 in Business Admin), and strong IT skills (Outlook/Word/Excel/PowerPoint). RiO knowledge is desirable.

  • Proficient IT skills with MS Office and RiO system knowledge desirable.

Job description

Job Title: Medical Secretary Location: Prospect Park Hospital, Honey End Lane, Tilehurst, Reading RG30 4EJ Hours: 30 hours per week 4 days 9am - 5pm / 8am - 4pm (4 days per week) Trust: Berkshire Healthcare NHS Foundation Trust Role type: Temporary for 3 months with possibility of extension Role details To provide administrative support to the Consultant Psychiatrist and relevant medical colleagues (e.g. Speciality Doctor, or doctors in training on placement, working with the Consultant.

  • Transcribe from recorded dictation or handwritten notes all discharge summaries, clinic letters and all other correspondence generated by the Consultant Psychiatrist and relevant medical colleagues i.e. Reports for the Courts, Tribunal Meetings, Care Plan Approach Meetings, Case Conferences and Minutes of Meetings. Managing the Outpatients Clinics by inputting appointments in advance using the client record system (RiO) and ensuring they are noted in the diary, making sure they do not coincide with other meetings/clinics. Confirming appointments by letter and telephone. Processing referrals by inputting, allocating and uploading relevant documents onto RiO system. Inputting the month end statistics of clients seen by the Consultant and relevant medical colleagues. Deal with telephone callers and visitors to the department in a courteous manner giving appropriate advice; taking and relaying messages and enquiries and keeping a record of these ensuring good working relationships with Trust staff and external contact are maintained. To receive emails and fax messages and relaying them promptly. Check through the clients' medical notes for appointments and ascertain if any results are required. Organise meetings, compile and prepare agendas. Type and distribute minutes of meetings and take follow-up action as required. To be familiar with and know the whereabouts of relevant policies and procedures. Assist in the collection, processing and presentation of data in various formats including setting up and maintaining spreadsheets.
  • Use Electronic Staff Record (ESR) to update personal details. Undertake other administrative duties as delegated by PA to Head of Service. You'll learn the following whilst working at the trust: An in depth understanding of the roles and responsibilities involved in working within the NHS Knowledge of the systems used, to effectively complete your role to the highest standard at all times A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation
  • You'll have the following skills/experience: Good standard of education; GCSE English and Maths or equivalent NVQ Level 3 Business Admin Intermediate knowledge of IT systems and software programmes such as Outlook, Word, Excel, PowerPoint and Access RiO system knowledge (desirable) Clear communicator Medical Secretary experience (essential), more shifts and a healthier work-life balance, giving more choice and control to our members.
