A welcoming GP surgery in Wembley seeks a medical administrator to join the Practice Administration team. The role involves providing high-quality customer service, supporting clinical and administrative tasks, and maintaining practice operations. Ideal candidates will have relevant qualifications, experience in healthcare, and excellent communication skills.
Premier Medical Centre is a GP Surgery based in Wembley. We have a list size of over 10031 patients and are a friendly and welcoming surgery. To be a member of the Practice Administration team, you will provide a high quality customer service to the practice population working at all times in accordance with your job description and within your capabilities
The duties and responsibilities for this position may include any or allof the following list.
Provide administrative support to theclinical team and practice manager and assistant practice manager
Assist patients, the practice teamand other healthcare workers with queries and where necessary direct to theappropriate person
Registration
Typing letters, referrals anddocuments
Filing and retrieving of notes,letters and results
Process new patient notes and returnnotes
Process referrals using theelectronic referral system and deal with patient and GP queries
Code information from new patientquestionnaires
Check practice email account at leasttwice a day and process correspondence as directed
Complete DOCMAN and EMIS tasks asrequested
Prescriptions
Scanning: Scan allhospital correspondence onto patients computer records. This includeselectronic copies from hospitals and paper copies received

Thefollowing are the core responsibilities of the receptionist/administrator. Theremay be on occasion, a requirement to carry out other tasks; this will bedependent upon factors such as workload and staffing levels:
a.Maintaining and monitoring the practice appointmentsystem
b.Process personal, telephone and e-requests forappointments
c.Answer incoming phone calls, transferring calls ordealing with the callers request appropriately
d.Action all incoming faxes
e.Signpost patients to the correct service
f.Process incoming and outgoing mail
g.Initiating contact with and responding to, requests frompatients, team members and external agencies
h.Process referrals to external agencies such as secondarycare using the electronic referral system (ERS)
i.Process calling letters are requested
j.Process all DNA letters in accordance with current policy
l.Read code data on Emis
m.Photocopy documentation as required
n.File and store records as required
o.Data entry of new and temporary registrations and relevantpatient information as required
p.Input data into the patients healthcare records asnecessary
q.Scanning of patient related documentation and attachingscanned documents to patients healthcare records
r.Process requests for information i.e. SAR, insurance /solicitors letters and DVLA forms to the administrative team
s.Manage all queries (including administrative queries) asnecessary in an efficient manner
t.Carry out system searches as requested
u.Maintain a clean, tidy, effective working area at alltimes
v.Monitor and maintain the reception area and notice boards
w.Support all clinical staff with general tasks asrequested
Secondary Responsibilities
Inaddition to the primary responsibilities, the medical administrator may berequested to:
a.Partake in audit as directed by the audit lead
b.Produce meeting agendas and record the minutes ofmeetings
c.Support administrative and reception staff, providingcover during staff absences
d.Complete opening and closing procedures in accordancewith the duty rota
e.As required support [insert role] in the management of repeatprescriptions, ensuring they are processed accurately and efficiently
f.Ordering and monitoring of stationery supplies
