Vacancy Description

Purpose of Post: To provide administrative support for the Junior Guildhall administrative team.

Main Duties & Responsibilities:

  • Working with the Office Manager and Music Officers to provide high-level customer service and communication with students, parents, staff, teachers, outside agencies, and the public.
  • Being the first point of contact in person, by phone, and email, including monitoring the Juniors email inbox.
  • Assisting with monitoring and chasing student fees and funding.
  • Helping with bursary application administration.
  • Assisting with audition applications and live auditions administration.
  • Supporting concert and event planning, including hiring equipment, proofreading, printing programmes, managing ticket lists, notices, and promotional materials. Assisting in stage management for concerts and performances.
  • Managing diaries for SMT.
  • Liaising with Heads of Departments to assist with administrative tasks.
  • Supporting the Junior Guildhall music library and instrument stock management.
  • Administering end-of-year student reports, including platform performance, aural, and folio reports.
  • Assisting with the end-of-year mailout and collating programme details for concerts.
  • Maintaining the Junior Guildhall filing system and parental/staff address databases.
  • Managing stationery stock.
  • Working on Saturdays at Junior Guildhall.
  • Implementing the City of London’s Occupational Health and Safety Policy and promoting a safe working environment.
  • Promoting equality of opportunity in line with the City of London’s policies.
  • Undertaking other duties as assigned by the Head of Junior Music Courses appropriate to the grade.
