Role title: IoT Personal Assistant (PA)

Role purpose:

The Personal Assistant will provide high-quality, proactive, professional, and confidential PA and administrative support to leaders in the IoT team. They will play a key role in supporting the Senior Leader and coordinating the team’s activities. The ideal candidate demonstrates a good understanding of concepts and procedures within their discipline to ensure high-quality service delivery. Typically, reports to the Head of the team.

What You’ll Do
Key accountabilities and decision ownership
  1. Operate under tight deadlines while building strong relationships with cross-functional partners and other administrators.
  2. Manage diaries and calendars efficiently and professionally.
  3. Prepare leaders for meetings with agendas, pre-reads, and follow-up actions.
  4. Understand practices and procedures related to travel, system approvals, expenses, purchasing orders, and tracking annual spend, owning these activities for the team.
  5. Support ad-hoc requests, including coordinating team events, forums, and meetings, as well as arranging travel, accommodation, and catering as needed.
  6. Manage tasks proactively and professionally, handling correspondence, emails, and calls promptly.
  7. Act as a professional point of contact for leaders to internal and external visitors.
  8. Use effective communication skills to exchange ideas and information clearly and sensitively.
  9. Provide informal guidance and support to new team members when required.
  10. May act as a systems/tools expert.

Must-have technical/professional qualifications:
  1. Highly proficient secretarial skills.
  2. Proficiency in MS Office applications, especially Outlook, Teams, PowerPoint.
  3. Fluency in English; additional European languages (e.g., German, Spanish, Italian) are a plus.
