Role purpose:
The Personal Assistant will provide high-quality, proactive, professional, and confidential PA and administrative support to leaders in the IoT team. They will play a key role in supporting the Senior Leader and coordinating the team’s activities. The ideal candidate demonstrates a good understanding of concepts and procedures within their discipline to ensure high-quality service delivery. Typically, reports to the Head of the team.
What You’ll Do
Key accountabilities and decision ownership
- Operate under tight deadlines while building strong relationships with cross-functional partners and other administrators.
- Manage diaries and calendars efficiently and professionally.
- Prepare leaders for meetings with agendas, pre-reads, and follow-up actions.
- Understand practices and procedures related to travel, system approvals, expenses, purchasing orders, and tracking annual spend, owning these activities for the team.
- Support ad-hoc requests, including coordinating team events, forums, and meetings, as well as arranging travel, accommodation, and catering as needed.
- Manage tasks proactively and professionally, handling correspondence, emails, and calls promptly.
- Act as a professional point of contact for leaders to internal and external visitors.
- Use effective communication skills to exchange ideas and information clearly and sensitively.
- Provide informal guidance and support to new team members when required.
- May act as a systems/tools expert.

Must-have technical/professional qualifications:
- Highly proficient secretarial skills.
- Proficiency in MS Office applications, especially Outlook, Teams, PowerPoint.
- Fluency in English; additional European languages (e.g., German, Spanish, Italian) are a plus.
