Job summary

Pandigroup in Havant is seeking a Hire Coordinator to be the operational backbone of the hire desk, taking full ownership of customer hire requirements from initial enquiry to off-hire completion. This role is dynamic and high-impact, coordinating end-to-end hire logistics and maintaining high fleet utilisation while delivering exemplary customer service.

The successful candidate will manage customer accounts, dispatch engineers, prepare quotations, and work closely with Service Coordinators.

Qualifications

• Experience in administration or account management in a fast paced environment (hire, equipment rental, logistics, or engineering sectors are an advantage).
• Strong relationship-building skills and a proactive communication style.
• Excellent organisation, attention to detail, and ability to juggle multiple priorities.

Responsibilities

• Act as the primary point of contact for hire clients, providing prompt, proactive, and friendly service throughout the hire period.
• Produce accurate commercial quotations covering equipment, delivery, fuel, and third-party costs.
• Identify upselling opportunities by introducing relevant P&I products and services to existing accounts.
• Coordinate the full hire lifecycle: availability checks, preparation, delivery, installation, extensions, and off-hire collections.
• Track fleet availability and maintenance to help achieve and maintain target fleet utilisation above 75%.
• Work with Service Coordinators to schedule equipment servicing, PDI, callouts, and repairs.
• Evaluate supplier quotes, raise purchase orders (POs), and review incoming third-party invoices.
• Maintain accurate customer, pricing, asset, and contract data in the company CRM system.
• Generate operational reports on fleet status, revenue, and upcoming logistics.
