37.5 hours) Job Description:The Helpdesk Coordinator serves as the central point for managing facilities-related service requests and ensuring timely resolution in line with service level agreements.
Working in a team of four, this position supports the efficient running of on-site operations by raising and tracking job tasks, coordinating contractor access, managing documentation, and maintaining data within the CAFM system.
The role contributes directly to contract SLA compliance, responsiveness, and overall service continuity.
Key Skills Log and manage reactive and planned maintenance jobs via the CAFM system, ensuring SLA compliance Monitor open jobs and follow up to ensure timely resolution Issue and track purchase orders related to job requests Coordinate contractor attendance, including access arrangements and pre-arrival documentation Ensure all contractor prestart paperwork is completed and submitted before attendance Maintain up-to-date records and filing systems for audits and compliance Support the wider Facilities team with any administrative tasks as needed
Skills & Experience Proven experience in a fast-paced helpdesk, facilities, or administrative support role Competence using CAFM or similar job-tracking platforms Competent in Microsoft Office Suite, including Excel, Word, and Outlook Clear communicator with strong customer service skills Calm under pressure, with a proactive, solution-focused mindset Strong organisational skills and attention to detail Flexible and able to manage shifting priorities
