Job summary

Facultatieve Technologies in Leeds is seeking a Spares Co-ordinator to provide efficient admin and customer support by managing orders, deliveries, and liaising with internal teams and suppliers.

You will raise purchase orders, coordinate international shipments, ensure on-time fulfilment, and uphold ISO 9001 standards while maintaining strong relationships with customers and colleagues.

Qualifications

• Experience in customer service, sales administration, order processing, or supply chain coordination roles.
• Proficiency in CRM/ERP systems (Oracle NetSuite preferable).
• Strong Microsoft Office skills, particularly Outlook, Excel, and Word.
• Excellent communication and interpersonal skills.
• Ability to manage competing priorities in a fast-paced environment.
• High attention to detail and commitment to quality.
• Experience arranging domestic and international shipments.
• Experience within a manufacturing, engineering, scientific, or industrial environment.
• Familiarity with export documentation and logistics processes.
• Experience working within an ISO 9001 accredited organisation.
• Understanding of engineering drawings and technical documentation.

Responsibilities

• Receive and process customer orders via telephone and email.
• Accurately enter and manage sales orders using NetSuite.
• Raise purchase orders for non-stock parts and monitor progress through to receipt.
• Respond promptly and professionally to customer enquiries regarding orders, deliveries, product availability, and general requests.
• Provide customers with updates on order status and expected delivery dates.
• Liaise with Engineering teams regarding drawing requests, technical queries, and customer-specific requirements.
• Work closely with Warehouse and Service departments to ensure timely fulfilment of customer orders.
• Arrange transportation for international shipments of Factivate and Denox products.
• Coordinate with suppliers regarding the shipment and movement of Factivate and Denox materials.
• Arrange collections for reagent waste in line with company procedures and applicable regulations.
• Support adherence to health, safety, environmental, and quality standards within all aspects of the role.
• Build and maintain positive working relationships with customers, suppliers, and colleagues.
• Ensure all activities comply with relevant health, safety, and environmental (HSE) regulations.
