About the Role
We are seeking a Logistics & Dispatch Co-Ordinator to join our Stores Team at Moor Road in Leeds. This role exists to to ensure all spares, service parts, and project equipment are dispatched accurately, on time, and in compliance with carrier and customs requirements. You will be responsible for daily shipment activity, resolves delivery or customs issues, and providing clear communication to internal teams to support smooth operational flow.

What You’ll Be Doing
- Prepare shipment documentation including commercial invoices, packing lists and courier labels.
- Create customs invoices for spares and project shipments.
- Liaise with the warehouse team to ensure all items are correctly labelled, packed, and ready for dispatch.
- Arrange inter‑site transport (e.g., machine frames from Rotherham to Leeds) by first confirming with Stores that capacity, workload, and priorities allow the machines to be received on the planned day.
- Book collections with DHL and other carriers; provide labels to Stores.
- Track shipments daily, obtain PODs, and follow up on delays.
- Resolve customs issues promptly to prevent hold‑ups.
- Raise and manage claims for lost or damaged shipments.
- Check carrier invoices and challenge incorrect charges.
- Request freight quotes and select the best option based on urgency and cost.
- Update internal systems and spreadsheets with shipment status.
- Monitor project delivery schedules and prepare invoice templates when required.
- Maintain accurate records of export documentation for compliance.
- Identify issues or trends in freight performance and report them.
- Work closely with Stores, Procurement, Projects, Spares, and Service to plan daily dispatch priorities.
- Provide proactive updates on urgent shipments, delays, and risks.
- Respond professionally to logistics and spares‑related queries.

What We’re Looking For
- Experience in logistics coordination within a manufacturing or engineering environment.
- Understanding of dispatch and shipping documentation including commercial invoices, packing lists, delivery notes, and customs invoices.
- Knowledge of courier and freight processes such as booking collections, tracking shipments, obtaining PODs, and managing delivery issues.
- Knowledge of export compliance requirements, customs declarations, and Incoterms.
- Experience working with DHL, freight forwarders, and international courier networks.
- Experience using ERP systems
- Relevant qualification in logistics, supply chain management, international trade, or transport operations.
- Experience working in a manufacturing, engineering, or project-based environment.
Working Pattern & Travel
Full time, 37.5 hours per week (Monday to Friday) with one day per week working from home. 12-month Fixed Term contract.
