Job summary

The Vanguard Group in London seeks a Facilities Site Lead to manage site operations, coordinating with the outsourced IFM team and internal partners to ensure safety, service delivery, and adherence to global standards.

You will support budgets, R&M forecasting, and capital project tracking, acting as the on-site representative with landlords and vendors while driving risk mitigation and continuous improvement in a hybrid working model.

Qualifications

• Excellent verbal and written communication to determine building needs and coordinate with contractors and crews.
• Ability to analyse budgets and identify cost-saving opportunities.
• Customer service orientation to ensure crew satisfaction.
• Strong analytical thinking and problem-solving capabilities.
• Experience in scheduling, strategic planning and administration.
• Basic understanding of current building health and safety regulations.
• Proficient with Microsoft Office and facility management software.

Responsibilities

• Serve as designated on-site operational lead for London facilities, ensuring safety and service delivery align with global standards.
• Coach and co-manage site operating budgets, R&M forecasting and capital project tracking.
• Act as main on-site representative with landlords, vendors and internal partners to ensure expectations are met.
• Drive risk mitigation, emergency preparedness, and regulatory compliance across sites.
• Coordinate enterprise workplace initiatives like space optimisation and occupancy planning.
• Lead coordination with IFM providers and internal Real Estate, Engineering, Security and HR teams.
• Identify gaps in site performance and drive continuous improvement aligned to KPIs.
