Job summary

Ovia Lighting Ltd. is seeking a Facilities Coordinator to manage fleet administration, utilities and waste management, contractor relationships, and site maintenance.

The role is based full-time at our Tamworth head office, with a focus on Health & Safety initiatives and business continuity support. The successful candidate will coordinate with drivers, insurers, and suppliers, handle data entry and reporting, and ensure compliance with relevant standards.

Qualifications

• Attention to detail with high accuracy.
• Strong communication with colleagues and suppliers.
• Excellent organisational skills and ability to prioritise workload.
• Proficient administrative capabilities and computer literacy.
• Flexibility for ad hoc tasks as required.
• Full Driving Licence and access to a vehicle if needed.
• Proficient in Microsoft Office suite (Excel, Outlook).

Responsibilities

• Manage fleet administration including post and emails.
• Maintain fleet records using internal fleet software.
• Distribute fines to drivers and track payments.
• Coordinate car deliveries to garages and for new drivers.
• Liaise with insurers and drivers after accidents.
• Check invoice costs and monitor mileage for lease changes.
• Coordinate waste transfer notes and ensure up-to-date certificates.
• Verify utility bill accuracy and liaise with suppliers.
• Be a point of contact for meter reading companies and contractors.
• Support health & safety initiatives and environmental plans.
• Assist with business continuity and disaster recovery planning.
