The Facilities Coordinator will support HQ Facilities Operations. This role requires excellent organization, administration, communication, interpersonal, and customer service skills, with a good working knowledge of facilities, reception, and related duties.

KEY RESPONSIBILITIES:

  1. Facilities Management: Support the management of all hard and soft services, ensure delivery of a 5-star FM service, and oversee daily office and meeting room checks, including temperature, maintenance, and cleanliness standards.
  2. Meeting Room Setup: Prepare meeting rooms for use, liaising with housekeeping for setups and changes during the day.
  3. Support Functions: Provide proactive support to the office, cover for colleagues during absences, assist with new starter and visitor access management, and handle purchase requisitions and invoice verification.
  4. Administrative Tasks: Manage postal services, stationery supplies, and other ad-hoc duties, logging requests on ServiceNow.
  5. System Usage: Utilize in-house systems such as ServiceNow, V-Learn, vShipping, Concur, Coupa, and Travel for various operational tasks.
  6. Safety and Environmental Compliance: Participate in fire alarm testing, safety checks, and contribute to environmental and emergency management programs, ensuring documentation is up-to-date and correctly filed.

Person Specification:

  • Experience in Facilities Management
  • Proficiency in Microsoft Office Suite
