Scope

As a Facilities Co-Ordinator at Farrer & Co, you will ensure the efficient operation of our office facilities. You will work closely with the Facilities Manager, team members, and contractors to maintain a safe, clean, and comfortable environment for staff and clients.

Responsibilities
  • Facilities Maintenance: Assist in maintaining the office premises, coordinate repairs, oversee service contracts, and manage assets using databases and planners.
  • Space Management: Support space planning, office moves, reconfigurations, and manage physical requirements for various areas.
  • Health and Safety Compliance: Monitor standards, conduct safety inspections, support DSE compliance, and manage safety documentation and inductions.
  • Budget and Contract Management: Liaise with vendors, manage contracts, handle landlord requirements, and maintain spend databases.
  • Budget Management: Assist in developing and tracking the facilities budget, ensuring cost-effectiveness and reporting variances.
  • Environmental Sustainability: Promote sustainable practices within the office.
  • Emergency Response: Develop emergency plans, conduct drills, and maintain emergency equipment.
  • Team Collaboration: Work with various departments and contractors, providing backup support as needed.
Skills and Experience
  • Experience supporting fee earners and legal requirements.
  • Experience organizing large meetings and communications support.
  • At least 5 years in a professional services firm; experience with listed buildings is advantageous.
  • Excellent organizational skills and ability to prioritize.
  • Exceptional customer service skills.
Additional Information

The working hours are 9:30 am - 5:30 pm, with flexibility and willingness to work beyond hours if required. The firm supports agile working, including home working, with a minimum number of days in the London office.
