Job summary

White Recruitment is seeking an experienced Export Coordinator in Aberdeen to manage export shipments from quotation through to final delivery. The role requires strong freight forwarding background and excellent customer service to work with customers, carriers, overseas offices and internal teams.

You will handle export documentation, customs declarations and ensure compliance with HMRC regulations, while maintaining accurate records and meeting KPI targets.

Qualifications

• Experience in export freight forwarding is essential.
• Strong knowledge of air, sea and road export operations.
• Good understanding of HMRC customs procedures.
• Experience handling Dangerous Goods is advantageous.
• Excellent customer service and relationship management skills.
• Strong communication and organisational abilities.
• High attention to detail with ability to prioritise in a fast-paced environment.
• Proficient in Microsoft Excel.

Responsibilities

• Coordinate export shipments from initial enquiry through to final delivery.
• Prepare competitive freight quotations for customers and overseas offices.
• Book shipments with airlines, shipping lines and road transport providers.
• Process export documentation (MAWB, HAWB, Bills of Lading, CMRs, Standard Shipping Notes).
• Complete customs declarations in line with HMRC regulations.
• Maintain shipment and customer records in the freight management system.
• Build and maintain relationships with customers, overseas partners and suppliers.
• Support onboarding of new accounts and assist sales team in growth.

Export Coordinator - Aberdeen - Up to £50,000

Our client is seeking an experienced Export Coordinator to join their busy operations team in Aberdeen. This is an excellent opportunity for someone with a strong freight forwarding background to manage export shipments from quotation through to final delivery while providing an exceptional level of customer service.

The successful candidate will work closely with customers, carriers, overseas offices and internal departments to ensure shipments are handled efficiently, compliantly and within agreed timescales.

Location: Aberdeen
Salary: Up to £50,000 (depending on experience)
Hours: Monday to Friday, Full-Time

Key Responsibilities

• Coordinate export shipments from initial enquiry through to final delivery.
• Prepare competitive freight quotations for customers and overseas offices.
• Book shipments with airlines, shipping lines and road transport providers.
• Process all export documentation including MAWB, HAWB, Bills of Lading, CMRs and Standard Shipping Notes.
• Complete customs declarations using CDS/ASM Sequoia in line with HMRC regulations.
• Ensure destination-specific documentation is accurate and compliant.
• Maintain accurate shipment and customer records within the freight management system.
• Build and maintain strong relationships with customers, overseas partners and suppliers.
• Attend customer meetings and support the onboarding of new accounts.
• Work closely with the sales team to support existing customer relationships and identify opportunities for growth.
• Resolve operational issues with customers and suppliers professionally and efficiently.
• Issue non-conformance reports (NCRs) where required.
• Ensure Dangerous Goods shipments are handled in accordance with current regulations.
• Keep up to date with HMRC regulations, trade sanctions and compliance requirements.
• Meet departmental KPI and billing targets.
• Participate in regular team meetings and contribute to continuous improvement initiatives.
• Provide customers with advice and guidance on export procedures and documentation.
• Follow customer Standard Operating Procedures (SOPs) at all times.

Requirements

• Previous experience within an export freight forwarding role.
• Strong understanding of air, sea and road export operations.
• Good knowledge of HMRC customs procedures and export documentation.
• Experience handling Dangerous Goods would be highly advantageous.
• Excellent customer service and relationship management skills.
• Strong communication and organisational skills.
• High attention to detail with the ability to prioritise workloads in a fast-paced environment.
• Able to work independently as well as part of a team.
• Good working knowledge of Microsoft Office, particularly Excel.
• Experience using freight forwarding software such as ASM Sequoia or similar would be advantageous.
