The Whittan Group is the largest manufacturer of steel storage products in the United Kingdom. Operating through a number of market-leading brands, we design, manufacture, and install storage solutions for commercial and industrial environments in the UK and Europe.
We are looking for an Export and Import Coordinator to take ownership of a critical role managing global trade operations across our Group, including Polypal UK. The successful candidate will oversee all international shipping and trade compliance activities across the Whittan Group.
Key Responsibilities
- Produce all export documentation, including commercial invoices and packing specifications, ensuring accuracy and attention to detail.
- Follow up on missing documentation or information from customers and internal colleagues to prevent delays and meet customer lead times.
- Support OTIF fulfillment by ensuring timely dispatch and collection of overseas orders across multiple Group sites, maximizing monthly revenue.
- Manage and renew Direct Repr Form agreements for customers and the Group to ensure continuous coverage.
- Own the end-to-end export process, ensuring timely and accurate documentation from stakeholders and suppliers.
- Utilize SAP to process export orders, recognize exceptions, and resolve errors.
- Produce and distribute reports related to export activities.
- Reconcile imports and collate import documentation.
- Review open purchase orders for overseas vendors to prevent fulfillment delays and raise purchase orders for export/import services.
- Renew Chamber of Commerce agreements for export certificates and apply for certificates like EUR1 and Certificate of Origin.
- Manage and update supplementary declarations on the TSS platform.
- Identify and correct mistakes in documentation, raising cases to resolve issues.
- Maintain strong relationships with clearing agents to facilitate material imports and issue release letters for container clearance.
- Stay updated on legal requirements and adjust processes accordingly.
- Coordinate lead times from the Spanish factory based on logistics schedules.
- Review and manage loading capacities for large orders and factory schedules.
Essential Skills, Qualifications, and Experience
- Minimum A-C grades in Maths and English.
- Basic knowledge of Microsoft Office.
- Excellent data entry skills with high attention to detail.
- Good telephone manner.
- Team player with good time management skills.
- Ability to multitask and prioritize workload.
Desirable
- Basic working knowledge of SAP.
- Experience in export and import operations.
- Full UK driving license.
