You will play a crucial role in maintaining smooth operations and effective communication within the organisation.

PwC offers an exciting opportunity to be part of a growing team of Executive Support Assistants within the Operations team who are passionate about supporting business priorities for Partners and Directors across the Channel Islands (BCI).

The role is suitable for someone looking to start their career at PwC, willing to support the Executive Support team and wider BCI stakeholders. You will work as part of a multidisciplinary team, with a passion and ability to upskill yourself.

The role requires high self-management, personal responsibility, prioritisation, organisation, and workload management. A customer service mindset, good technical skills, and awareness of current and emerging technology are essential.

Responsibilities:

Responsibilities include:

• Core Responsibilities:

  1. Management of stakeholder diaries, ensuring they have all necessary documents for meetings and are well prepared.
  2. Proactive research, organisation, and delegation of travel logistics (visas, accommodation, flights, taxis, etc.).
  3. Stakeholder meeting management, including preparation (briefing notes, slides, bios) and attendance (minutes, transcriptions, follow-up actions).
  4. Project coordination: carrying out specific projects and research, attending meetings to understand requirements, supporting actions, and interacting with project teams.
  5. Drafting, producing, and proofreading internal and external correspondence and documentation, ensuring quality, accuracy, relevance, and compliance with PwC guidelines.
  6. Monitoring stakeholder mailboxes, engaging with stakeholders on matters requiring decisions.
  7. Understanding stakeholder priorities to optimise their time management.
  8. Applying regulatory and data management compliance policies.
  9. Managing stakeholder compliance with policies and deadlines, delegating transactional work as appropriate.
  10. Supporting the Firm's Client Relationship Management system (Salesforce).
  11. Ensuring timely and accurate timesheet completion in line with policies.

• Collective responsibilities:

  1. Event management: organising meetings, training, and events, liaising with external suppliers, booking venues, and ordering refreshments.
  2. Assisting with general office queries (printing, photocopying, binding, scanning, laminating).
  3. Securing documentation and signatures, arranging signing and e-signatures.
  4. Identifying efficiencies within the team and stakeholders.
  5. Engaging with technological advances and supporting firm-wide developments, especially for ELs.
  6. Providing LoS support to teams where needed.

• Ad-hoc responsibilities:

  1. Supporting stakeholders with managing social media accounts, content curation, and linking with marketing teams.
  2. Supporting stakeholders with expense and invoice preparations, ensuring policy compliance.
  3. Assisting in upskilling Firmwide systems.
  4. Building relationships and supporting firm-wide initiatives (CSR, sports, wellbeing, etc.).
  5. Providing Workplace Operations support during busy periods.
  6. Resolving or escalating enquiries and issues, supporting other stakeholders as needed.
  7. Travel booking for onboarding new joiners.

● No direct reports into this role.
