The Role

As the Executive/Personal Assistant covering a maternity leave, you will play a key role in directlysupporting the principal, a core function within our Administrative and Operations team. You willwork in the office as part of a broader team that includes the Investment and Community teams. You will be responsible for maximising the founder's business and networking potential, providingseamless and efficient administrative and personal support.

The ideal candidate will have extensive experience within a similar role. You’ll be highly organised,proactive, and discreet, with excellent written and verbal communication skills. You should also beable to prioritise effectively, enabling the executive to focus on strategic activities. The role includesa mix of both personal and business duties, with a focus on arranging travel and other logistics,financial control, and administrative tasks. A collaborative mindset and can-do attitude are essential.

Hours:- 9:30am – 6:30pm, Mon-Fri, plus on-call 24/7

Location:- Mayfair

Salary:- Dependent upon experience

Start Date:- ASAP

Interviewing:- Immediate

Responsibilities include, but not limited to:

  • Arrange international and domestic travel for the executive, including flights, visas,
  • accommodation, chauffeur services, and other logistics.
  • Manage and organise the executive's inbox, filtering requests, and prioritisingcommunication.
  • Schedule and coordinate calls, meetings, and follow-ups.
  • Manage financial control, budgeting, and expense management.
  • Oversee banking activities.
  • Plan and organise group business dinners and ensure smooth running of the event.
  • Maintain and update to-do lists and calendars for the executive.
  • Manage the executive's CRM system and input data.
  • Plan and oversee the executive’s business/personal trips and ensure their time is maximised.
  • Provide personal support, including medical and fitness-related tasks.
  • Provide support to executive’s partner.
  • Oversee gifting, from selecting appropriate items to managing delivery.
  • Take minutes during meetings and distribute them to relevant parties.
  • Manage pet-related tasks, including pet travel arrangements.
  • Coordinate general purchasing for the executive, as well as the office.
  • Book appointments and make reservations as needed.
  • Complete various administrative tasks as assigned.
  • Assist with ad-hoc tasks and projects as needed.
  • Assist the CIO and CEO with selected personal and business tasks.

Candidates must be / have:

  • Proven experience as an Executive/Personal Assistant or similar role.
  • Excellent organisational and time-management skills, with the ability to prioritise tasks andhandle multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to build relationships withstakeholders at all levels.
  • Proficiency in Microsoft Office and other relevant software.
  • Attention to detail and the ability to maintain confidentiality.
  • Flexibility and adaptability to changing priorities and requirements.
  • Bachelor's degree preferred.
