Role summary

Supporting the M&G Group Chief of Staff and the wider M&G Group CEO Office team. Note that this role requires working in the office 4-5 days per week as needed.

The key elements of the role are:

  • Providing efficient and organized support to the M&G Group CEO Chief of Staff.
  • Supporting the wider Group CEO Office team as required.
  • Providing full cover when the M&G Group CEO Executive Assistant is on leave.

Job scope

  • Managing diaries with high skill and organization, assessing appointment priorities, and using sound judgment to reschedule or reprioritize commitments.
  • Proactively managing emails daily, flagging urgent matters.
  • Collaborating with colleagues and maintaining controls to improve the control environment, customer outcomes, and reduce operational risks.
  • Coordinating logistics for meetings, offsites, and social events in collaboration with the Group CEO Executive Assistant.
  • Scheduling and managing complex meetings and ensuring documentation is prepared and distributed in advance.
  • Handling finance-related tasks such as Purchase Orders and Expenses when required.
  • Planning and organizing internal and external events.
  • Booking complex travel arrangements and preparing itineraries.
  • Producing high-quality documentation, including presentations, spreadsheets, reports, agendas, and minutes.
  • Performing general administrative duties such as onboarding new joiners, proofreading documents, and formatting.
  • Building and maintaining strong relationships with fellow Executive Assistants, PAs, and leadership teams across M&G.

Core competencies required

  • Strong EA/PA experience.
  • Excellent knowledge of Microsoft Office 365.
  • Flexible, reliable, and proactive.
  • High attention to detail.
  • Action-oriented with the ability to maintain momentum.
  • Operate with discretion and integrity.
  • Maintain a positive attitude under pressure in a fast-paced environment.
  • Can-do approach to all tasks.
