Job description

We are seeking a high-caliber Executive Assistant to support our Executive team, providing comprehensive assistance to the Directors of the RLH and ME Senior Hospital Leadership Team. The ideal candidate is an enthusiastic self-starter with first-class executive administrative skills, capable of managing a busy and varied workload.

Responsibilities include managing agendas, circulating committee packs, taking minutes, diary and email management, organizing meetings, handling telephone inquiries, drafting agendas, and administrative tasks. The role requires excellent communication, interpersonal skills, diplomacy, discretion, and strong IT skills. Previous experience in a senior PA/EA role within a large organization is preferred.

The Executive Assistant is vital for the effective management of the department, working independently and as part of the senior management team.

Main Functions
  1. Manage the efficient operation of the Royal London Hospital Executive Director's office.
  2. Handle directors' emails, prioritizing, actioning, delegating, and responding professionally and promptly.
  3. Track outstanding actions and ensure deadlines are met.
  4. Provide high-level diary, administrative, and secretarial support.
  5. Draft agendas, distribute papers, and take minutes at meetings.
  6. Maintain relationships with partner organizations and external stakeholders.
  7. Deal professionally with internal and external stakeholders, including patients and visitors.
  8. Use diplomacy and problem-solving skills to resolve issues escalated to the executive level.
  9. Maintain confidentiality of sensitive information at all times.
