Premier seeks an experienced Executive Assistant to directly support Directors of a London-based family office. You will manage complex diaries, screen communications, prepare confidential materials, and coordinate personal and family affairs with discretion.

Qualifications

  • Previous experience as an Executive Assistant, Senior EA, Executive PA or Private PA supporting a Director or business owner.

Responsibilities

  • Executive Support: Manage a complex diary, prioritise with business objectives, screen emails and calls, prepare high-quality reports and confidential documents.
  • Family Office & Personal Support: Handle personal affairs discreetly, coordinate appointments and travel for family members, liaise with household staff and service providers.
  • Property Company Support: Assist day-to-day property company management, coordinate acquisitions/disposals, liaise with solicitors and lenders.
  • Business Operations: Coordinate UK/international travel, support project delivery, assist with office and admin tasks.

Are you an established Personal or Executive Assistant seeking a new varied challenge supporting company Directors?

The client: Family Office

This client is a London based family office with interests spanning property, art and investments.

The role: Executive Assistant

This role will directly partner company Directors. Candidates will be assured with excellent organisational and planning skills, strong attention to detail, with a track record of owning projects and acting with discretion while supporting business and personal/family office activities.

They want proven experience extracting best value, managing multiple different tasks at the same time and the confidence to negotiate with suppliers/source new ones.

Key Responsibilities include:
Executive Support
  • Manage a complex and ever-changing diary, ensuring priorities are aligned with business objectives.
  • Screen and manage emails, correspondence and telephone calls, responding on the Director's behalf where appropriate.
  • Prepare reports, presentations and confidential documentation to a high standard.
Family Office & Personal Support
  • Assist with the day-to-day management of the Director's personal and family affairs with complete discretion.
  • Coordinate personal appointments, travel arrangements and diary commitments for family members where required.
  • Liaise with household staff, property managers, contractors and external service providers.
  • Assist with the administration of residential properties, maintenance schedules and supplier relationships.
  • Maintain confidential records and ensure important documentation is securely organised.
  • Liaise with accountants, solicitors, wealth managers and other trusted advisers when required.
  • Handle ad hoc personal projects and sensitive matters with professionalism and discretion.
Property Company Support
  • Provide administrative and operational support in the day-to-day management of the property company and its portfolio.
  • Coordinate property acquisitions, disposals and refinancing processes, liaising with solicitors, surveyors, lenders and agents.
Business Operations
  • Coordinate UK and international travel, accommodation and itineraries.
  • Support project delivery across the business, coordinating activities between colleagues.
  • Assist with office management and operational administration where required.
Skills & Experience:

We're looking for someone who has:

  • Previous experience as an Executive Assistant, Senior EA, Executive PA or Private PA supporting a Director or business owner.
  • Experience in an owner led business would be preferred.
  • Experience supporting both business and personal/family office activities would be highly advantageous.
  • Experience extracting best value, making savings, with confidence to negotiate with suppliers/source new ones.
  • Exceptional organisational and planning skills. The ability to manage multiple priorities while remaining calm under pressure.
  • A proactive, resourceful approach with excellent judgement and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong Microsoft Office skills (Outlook, Word, Excel and PowerPoint).
  • Absolute discretion when handling confidential information.
