Job summary

East Lancashire Learning Group is seeking a highly motivated Exams Officer to join our team. The role focuses on exams planning and delivery across the college group, working with a range of awarding bodies to ensure timely processing and accurate results.

The candidate will be based primarily at Nelson & Colne College but may travel across sites. Experience in exams administration and data systems is desirable, and the post offers a dynamic environment within an Outstanding organisation.

Qualifications

  • 4 GCSEs or equivalent including Maths and English at Grade C/4 or above
  • Level 3 qualification or higher, or able to demonstrate relevant experience.
  • Experience of working on and inputting data on a computerised information system
  • Good working knowledge and practical experience of using Excel (desirable)
  • Experience of MIS and Registry procedures (desirable)
  • Experience of the EBS student records systems (desirable)
  • Experience of working in an exams office (desirable)

Responsibilities

  • Process exam entries for a full range of qualifications, liaising with tutors to resolve queries arising.
  • Plan and provide timely processing of registration and certificate claim forms to meet deadlines and update ILR.
  • Ensure that A-Level, T-Level and Vocational qualifications are processed in a timely way; receive entries from tutors and liaise with awarding bodies.
  • Act as a point of contact with academic staff to aid examination queries.
  • Supervise receipt and processing of certificates and manage storage and queries.
  • Adhere to Awarding Body regulations and deadlines.
  • Plan exam series including rooming requirements and learner access arrangements.
  • Support the Exams Team Leader with exam activities, papers preparation and invigilation.

Job description

We are looking to recruit a highly motivated exams officer to join our team working in a dynamic and fast paced environment providing exams planning and delivery across the college group. Working closely with the exams team leader you will help to plan and process exams, working with a range of awarding bodies and curriculum areas to provide examination planning for a wide range of qualifications. The successful candidate will be primarily based at Nelson & Colne College but may be required to travel across sites. This post could suit an experienced practitioner looking for their next challenge within an Outstanding organisation.

What You Will Be Doing:
  • Processing exam entries for a full range of qualifications delivered within the organisation, being aware of the requirements of individual awarding bodies and liaising with tutors to resolve any queries arising.
  • Planning and providing timely processing of registration and certificate claim forms in order that deadlines are met and all results are processed onto the ILR to maximise achievement and funding.
  • Ensuring that A-Level, T-Level and Vocational qualifications delivered across the organisation are processed in a timely way; receiving and checking entries from tutors; processing with the appropriate awarding body; liaising with tutors to resolve any queries.
  • Acting as a point of contact with academic staff to aid the resolution of examination queries
  • Supervising the receipt and processing of certificates from awarding bodies and; notifying students and keeping processes under constant review with the aim of eliminating paper communications. Making sure certificates are stored correctly in the appointed locations for students to collect in person, and dealing with any queries which arise.
  • Adhering to all Awarding Body and external organisation regulations and deadlines.
  • Planning exam series including rooming requirements and working with learner access arrangements
  • Supporting the Exams Team Leader with the various exam activities throughout the year with regards to preparing of exam papers and invigilation.
