Job summary

Gap Personnel are recruiting an Engineering Administrator in Wrexham to support the day-to-day operation of the engineering and maintenance team. You will coordinate requests, raise work orders, and maintain Planned Preventative Maintenance (PPM) schedules.

The ideal candidate will have strong IT skills (Excel, Word, Outlook), be highly organised and capable of working independently while managing multiple priorities. This is a permanent role, Monday to Friday.

Qualifications

  • Experience in engineering, maintenance, facilities or administrative environments preferred.
  • Strong IT skills and confidence using Microsoft Office (Excel, Word, Outlook).
  • Ability to learn and confidently use engineering, maintenance or purchasing systems.
  • Excellent organisational and time-management abilities.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritise effectively.
  • Good written and verbal communication skills.
  • Confident dealing with suppliers, contractors and internal teams.
  • Independent working style with initiative.
  • Proactive approach to identifying and resolving issues.

Responsibilities

  • Process and coordinate incoming engineering/maintenance requests.
  • Raise, track and close work orders; ensure information is recorded accurately.
  • Prepare and maintain PPM schedules and documentation.
  • Coordinate PPM activities and follow up on tasks.
  • Raise purchase orders and place orders for parts and services.
  • Liaise with suppliers and contractors on orders and deliveries.
  • Monitor outstanding orders and ensure timely receipt of materials/services.
  • Maintain accurate engineering records and documentation.
  • Update engineering databases and CMMS systems.
  • Assist in scheduling engineers and contractors.
  • Provide administrative support to engineering team and management.
  • Monitor outstanding jobs and progress requests.
  • Produce reports and maintain spreadsheets on activities and costs.
  • Keep documentation organised and up to date.
  • Identify administrative delays and resolve them.

Engineering Administrator

£28,500k - £35k per annum

Our client based in the Wrexham area is currently looking for an Engineering Administrator to join their team on a permanent basis.You will be a highly organised and proactive Engineering Administrator to support the day-to‑day operation of our clients engineering and maintenance team.The ideal candidate will be responsible be responsible for coordinating requests, ordering materials and services, preparing Planned Preventative Maintenance (PPM) schedules, and ensuring that administration is completed accurately and on time.This role will suit someone who is confident using IT systems, has excellent organisational skills, and is able to work independently while managing multiple priorities.

Performance Objectives
  • Process and coordinate incoming engineering and maintenance job requests.
  • Raise, track and close work orders and ensure information is recorded accurately.
  • Prepare and maintain Planned Preventative Maintenance (PPM) schedules and documentation.
  • Coordinate PPM activities and follow up on outstanding maintenance tasks.
  • Raise purchase orders and place orders for parts, materials, equipment and services.
  • Liaise with suppliers and contractors regarding orders, deliveries and ongoing works.
  • Monitor outstanding orders and ensure materials and services are received as required.
  • Maintain accurate engineering records, reports, certificates and documentation.
  • Update engineering databases and computerised maintenance management systems.
  • Assist with the coordination and scheduling of engineers and contractors.
  • Provide administrative support to the engineering team and management.
  • Monitor outstanding jobs and ensure requests are progressed in a timely manner.
  • Produce reports and maintain spreadsheets relating to engineering activities, costs and maintenance.
  • Ensure documentation is kept organised and up to date.
  • Identify administrative issues or delays and take appropriate action to resolve them.
  • Support the engineering team with general administrative duties as required.
Person Specification
  • Previous experience in an engineering, maintenance, facilities or administrative environment is desirable.
  • Strong IT skills, including confidence using Microsoft Office, particularly Excel, Word and Outlook.
  • Ability to learn and confidently use engineering, maintenance or purchasing systems.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritise effectively.
  • Good written and verbal communication skills.
  • Confident dealing with suppliers, contractors and internal teams.
  • Ability to work independently and use initiative.

  • They will be comfortable taking ownership of tasks from start to finish and will have a practical, problem-solving approach.
  • You should be someone who is confident asking questions when required, but equally comfortable making decisions and getting on with tasks independently.
