Job summary

Leeds Teaching Hospitals NHS Trust is seeking an enthusiastic and highly motivated individual to join the Emergency Department administration support team at two hospital sites in Leeds. The role covers front of house reception, patient registration, handling calls, arranging follow-ups and maintaining systems, across day and night shifts including weekends.

You will work closely with medical, nursing and admin staff, delivering a welcoming, efficient and patient-focused service in a busy ED

The Emergency Department has an excellent opportunity for a enthusiastic and highly motivated individual to join their administration support team. The prime responsibility of the post holder will be to provide a professional service as part of the front of house reception team for the Emergency Department. Duties include the accurate registration of patients into the Emergency Department, dealing with telephone enquiries from patients, relatives and other visitors to the department, arranging follow up appointments and maintaining accurate information systems. The post holders will be working closely with medical, nursing and other administrative staff. The reception service is provided 24 hours per day over 7 days and the post holders will be expected to work across the two main Emergency Departments at Leeds General Infirmary and St Jamess University Hospital. The post holders will be expected to work Bank Holidays in line with allocated shift patterns. A strong candidate should bring excellent communication and interpersonal skills, as the role involves interacting with patients, relatives, hospital staff and other visitors in a professional, calm and compassionate manner. Being able to listen carefully, provide clear information and remain approachable is especially important in a busy Emergency Department environment. The candidate should also bring strong organisational and administrative abilities, including attention to detail when registering patients, arranging appointments and maintaining accurate records. Good computer literacy and confidence using administration systems are valuable, particularly when working under pressure and meeting tight deadlines. Teamwork is another essential quality. The successful candidate should be able to work closely with medical, nursing and administrative colleagues while also managing their own workload effectively. Reliability, flexibility and a willingness to work a range of shifts across both hospital sites are important due to the 24-hour nature of the service. Most importantly, the candidate should bring a caring and patient-focused attitude. Emergency Departments can be stressful for patients and families, so having empathy, professionalism and the ability to remain calm in challenging situations would make a positive contribution to the team and overall patient experience. In addition, the successful applicants should demonstrate excellent organisational skills, be able to work as part of a team and able to manage their own workload. The ability to work to tight deadlines and be committed to providing a welcoming, efficient and caring service for our patients and their families is an essential part of this role.

The successful candidate should be computer literate and have a good working knowledge of clerical duties. Experience of using patient administration systems is an advantage particularly Symphony, however training can be provided.

The successful candidate will be required to work a combination of day and night shifts including weekends in each roster and participate in all of the shift patterns listed below. The ability to work from both LGI and SJUH site is essential.
