Title: Education Event Coordinator

Department: Education and Interpretation

Position Reports To: Onsite Programs Manager

FLSA: Non-Exempt, Full-Time

Schedule: 40 hours/week, Wednesday - Sunday. Some evenings and early mornings required.

Hourly Rate: $22.50/hour

Position Summary: The Education Event Coordinator plans and implements adult and family programs and workshops. Responsibilities include program management, curriculum development, supporting marketing efforts, and stakeholder communication.

Essential Functions and Responsibilities:

  1. Coordinate adult and family programs and events, including setting the annual calendar aligned with goals, objectives, and budget, and producing curriculum based on our Learning Framework.
  2. Manage logistics such as room booking, supplies procurement, contractor scheduling, and participant communication.
  3. Lead onsite programs like photography classes, workshops, Science Talks, Rainforest Yoga, Beekeeping, Scout and Senior days, and after-hours events.
  4. Coordinate and oversee birthday parties, including scheduling educators, developing new themes, and ensuring program success.
  5. Work with leadership to set goals and support the annual budget creation.
  6. Maintain statistics and records to analyze trends, inform programming, and prepare monthly reports.
  7. Monitor program attendance to guide marketing strategies and ensure effective delivery.
  8. Develop and implement marketing strategies and materials to boost attendance.
  9. Create curriculum recommendations and develop new program materials aligned with department goals.
  10. Support, mentor, and train team members, interns, and volunteers through regular check-ins and scheduling.
  11. Collaborate with the Registration Manager and Marketing team to maintain the website, online store, and registration systems for accuracy and effectiveness.
  12. Communicate effectively with departments such as Curatorial, Horticulture, Volunteer Services, Guest Services, and Operations.
  13. Participate in local and regional initiatives to promote Butterfly Pavilion’s mission.
  14. Recruit volunteers and interns for program delivery.

Additional Duties:

  1. Attend meetings and training sessions as required.
  2. Collaborate with other departments to ensure organizational cohesion.
  3. Cross-train to support other areas as needed.
  4. Assist with organization-wide events, supporting education and interpretation components.
  5. Utilize and troubleshoot Pavilion systems for programmatic and administrative operations.

Position Qualifications and Experience:

  • College degree in education, environmental sciences, biology, or related fields, or equivalent experience.

  • Event planning experience preferred.

  • Computer proficiency in word processing, spreadsheets, databases, and website management.
  • Solution-oriented with troubleshooting ability.
  • Enthusiastic and patient.

Work Environment & Physical Requirements:

While performing this role, employees may be exposed to moderate to loud noise. Tasks include talking, hearing, sitting, standing, handling objects, reaching, climbing, balancing, stooping, kneeling, crouching, crawling, and lifting up to 50 lbs.
