Job description

The Marketing & Events Coordinator is responsible for supporting the planning and execution of tradeshows, events, and marketing logistics. This entry-level role provides an excellent opportunity for a recent graduate to gain hands-on experience in event coordination, logistics management, and vendor relations. The ideal candidate is highly organized, detail-oriented, proactive and able to work cross-functionally with internal teams and external vendors.

About the role:

Tradeshow & Event Logistics:

  1. Create an internal tradeshow guide for attendees, providing them with all necessary event information.
  2. Act as the point of contact for hotel bookings and manage accommodation for staff attending tradeshows.
  3. Handle badge registration for staff participating in industry events.
  4. Help coordinate partner social hours and customer events at tradeshows.
  5. Manage shipping logistics, working closely with pre-sales teams and booth builders to ensure timely delivery of materials.
  6. Oversee branded merchandise orders to support marketing efforts at events.
  7. Keep track of all tradeshow deadlines and ensure management is updated on completion timelines.
  8. Assist in arranging social and team events when required.
  9. Administer partner loan requests, ensuring proper loan agreements are in place for borrowed equipment.
  10. Assist in masterclass organization, including catering orders and working with local office managers on cost management.
  11. Process purchase orders (POs) and invoices for new vendors, ensuring timely payments.
  12. Communicate with vendors, particularly in the US, to obtain and manage required finance documentation for new suppliers.
  13. Deal with other ad-hoc administration duties.

Marketing Automation Support:

  1. Assist with contact list uploads, ensuring data is properly formatted and imported correctly into the system.
  2. Help clear sync errors and maintain database hygiene, working closely with the team to resolve any issues promptly.
  3. Provide general support for automation and database tasks, gaining experience with marketing automation processes.

Requirements

  1. Recent graduate with a degree in Marketing, Business, Event Management, or a related field.
  2. Strong organizational and time management skills.
  3. Strong attention to detail, with a passion for accuracy and precision.
  4. Eagerness to learn and ability to work in a fast-paced environment.
  5. Excellent communication and interpersonal skills.
  6. Ability to manage multiple priorities and deadlines.
  7. Proficiency in Microsoft Office (Excel, Word, Outlook).
  8. Familiarity with financial processes, including purchase orders and invoice tracking, preferred.
  9. Experience with event management tools is a plus.
  10. Basic understanding of marketing automation tools, such as Pardot, is a plus, but training will be provided.
