Carbon Forward is seeking an enthusiastic and detail-oriented Event Coordinator to support our event planning and execution. The ideal candidate will assist with speaker and sponsor liaison, event coordination, vendor management, and marketing to ensure each event runs smoothly and achieves its objectives.

Job Overview:

Carbon Forward is seeking an enthusiastic and detail-oriented Event Coordinator to support our event planning and execution. The ideal candidate will assist with speaker and sponsor liaison, event coordination, vendor management, and marketing to ensure each event runs smoothly and achieves its objectives.

Key Responsibilities:

  1. Event Planning and Coordination:
    • Support the planning and organisation of conferences, seminars, and networking events.
    • Work closely with the events team to define objectives, schedule, and key requirements.
  2. Speaker and Sponsor Relations:
    • Act as the primary point of contact for event speakers and sponsors, ensuring their needs are understood and met.
    • Coordinate sponsor-related logistics, including promotional opportunities, deliverables, and meeting arrangements.
    • Coordinate speaker-related logistics, including agenda arrangements, presentation requirements and promotional opportunities.
    • Coordinate sponsorship sales with Events Director.
  3. Vendor Management:
    • Research and negotiate with vendors to secure services such as catering, audio-visual setups, and venues.
    • Ensure vendor contracts and agreements are properly managed and maintained.
  4. Logistics and On-Site Support:
    • Assist with all event logistics, including venue arrangements, setup, registration, and attendee management.
    • Ensure event setup meets Carbon Forward's quality standards and addresses all sponsor and attendee requirements.
  5. Marketing and Promotion:
    • Collaborate on the development of event marketing materials to drive awareness and engagement.
    • Assist in managing event communications across various channels to maximise participation, including drafting and design of marketing material.
  6. Post-Event Evaluation:
    • Gather and analyse feedback from sponsors, attendees, and internal teams to assess event success.
    • Assist in the preparation of post-event reports highlighting outcomes, areas for improvement, and recommendations for future events.

Qualifications:

  • Bachelor's degree in Event Management, Marketing, Communications, or a related field.
  • Experience in event planning and coordination.
  • Experience in event marketing.
  • Excellent organisational skills and an eye for detail.
  • Strong interpersonal skills with the ability to foster relationships with sponsors, speakers, and vendors.
  • Proficient in Microsoft Office Suite, marketing, and event management tools. Experience of working with a CRM.
  • Ability to manage multiple tasks and work effectively under deadlines.
  • Flexibility for travel internationally and work outside of standard hours as required.
  • Most of the work is remote; however, there will be meetings in London, along with attendance at events.

Please note, the above is the preferred experience; however, the desire to work in the events space, personality, and transferable skills are as important.
