Main Purpose of Job

To provide high-quality and professional administration support to the Contract Managers, Site Staff, and colleagues.

Key Duties and Responsibilities
  1. Work directly with the Contracts Managers.
  2. Assist Contract Managers with all project-related administration.
  3. Obtain quotes from suppliers.
  4. Place orders/call-offs for projects and ensure Procurement Schedule adherence.
  5. Create H&S files, risk assessments, and method statements.
  6. Produce and continuously update O&M manuals, ensuring certificates are registered with the appropriate authority.
  7. Handle Pre-Qualification Questionnaires (PQQs) and maintain existing approved status with clients.
  8. Manage the Sub-Contractor Database, keeping supplier insurances up to date.
  9. Assist with the maintenance of office systems, including data management, databases, spreadsheets, and filing.
  10. Provide administrative support to the Directors and Administration Team Leader.
  11. Liaise with the design team.
  12. Maintain office diary system and client database.
  13. Monitor emails for nominated staff when they are out of the office.
  14. Perform general administrative and office duties.
  15. Screen phone calls, inquiries, and requests, handling them appropriately.
Shared Duties with the Admin Team
  1. Help with reception and telephone coverage during absences.
  2. Assist clients and visitors with requests.
  3. Perform general administration duties such as typing, photocopying, folding drawings, filing, and archiving.
Requirements
  • Ability to work under pressure, meet tight deadlines, multitask, and prioritize workload.
  • Excellent telephone manner.
  • Good IT skills, including Word and Excel.
  • Willingness to learn.
  • Industry experience is beneficial but not essential.
  • DBS checks may be required.
Additional Details
  • This role is fully office-based, Monday to Thursday 8 am to 5 pm, and Friday 12 pm.
  • Salary: £25,000 - £29,000.
  • 25 days of annual leave plus 8 bank holidays.
