Main Purpose of Job
To provide high-quality and professional administration support to the Contract Managers, Site Staff, and colleagues.
Key Duties and Responsibilities
- Work directly with the Contracts Managers.
- Assist Contract Managers with all project-related administration.
- Obtain quotes from suppliers.
- Place orders/call-offs for projects and ensure Procurement Schedule adherence.
- Create H&S files, risk assessments, and method statements.
- Produce and continuously update O&M manuals, ensuring certificates are registered with the appropriate authority.
- Handle Pre-Qualification Questionnaires (PQQs) and maintain existing approved status with clients.
- Manage the Sub-Contractor Database, keeping supplier insurances up to date.
- Assist with the maintenance of office systems, including data management, databases, spreadsheets, and filing.
- Provide administrative support to the Directors and Administration Team Leader.
- Liaise with the design team.
- Maintain office diary system and client database.
- Monitor emails for nominated staff when they are out of the office.
- Perform general administrative and office duties.
- Screen phone calls, inquiries, and requests, handling them appropriately.
Shared Duties with the Admin Team
- Help with reception and telephone coverage during absences.
- Assist clients and visitors with requests.
- Perform general administration duties such as typing, photocopying, folding drawings, filing, and archiving.
Requirements
- Ability to work under pressure, meet tight deadlines, multitask, and prioritize workload.
- Excellent telephone manner.
- Good IT skills, including Word and Excel.
- Willingness to learn.
- Industry experience is beneficial but not essential.
- DBS checks may be required.
Additional Details
- This role is fully office-based, Monday to Thursday 8 am to 5 pm, and Friday 12 pm.
- Salary: £25,000 - £29,000.
- 25 days of annual leave plus 8 bank holidays.
