About the Job:

Summary

The Studio Coordinator plays a vital role in the daily operations of the VMI studio, ensuring the space is tidy, well-maintained, and presentable each day. This role is key to smooth office functioning and effective communication within the organization.

The ideal candidate should have experience in a similar role, be highly organized, professional, proactive, independent, resourceful, tech-savvy, and a self-motivated problem solver. Responsibilities include diary management, travel arrangements, expenses, and more, working closely with VMI executives.

The work at VMI is dynamic and varied, requiring flexibility, consistency, and reliability. A charismatic personality with a good sense of humor is essential, as you will be the welcoming face of our studio. Experience in a creative environment is a plus.

Main Responsibilities

Studio Maintenance:

  • Open the studio daily, ensuring meeting rooms, kitchen, and other areas are organized and ready for the team
  • Serve as the point person for office management duties, including:
  • Office maintenance and coordinating repairs
  • Ordering and managing supplies
  • Managing workplace equipment
  • Running errands as needed
  • Greeting visitors
  • Managing conference room bookings and ensuring rooms are prepared
  • Organizing office layout, stationery, and mail handling
  • Partnering with HR for onboarding new hires
  • Coordinating with IT on office equipment
  • Assisting employees with office management issues
  • Liaising with vendors for cleaning, catering, and security services
  • Planning in-house and off-site activities
  • Maintaining inventory and organizing supplies

Administrative Support:

  • Managing executives' schedules, appointments, and travel
  • Preparing documents, reports, and presentations using Google Suite
  • Performing data entry and maintaining up-to-date information
  • Handling phone calls professionally
  • Performing clerical duties like filing and photocopying
  • Coordinating meetings and logistics
  • Maintaining confidentiality and fostering a positive office environment

  • Strong organizational and multi-tasking skills
  • Attention to detail and problem-solving ability

Work arrangements include five days in the office at our modern Brixton space, with benefits such as a bonus scheme, casual dress, company events, pension, and gym membership. Salary ranges from £38,000 to £45,000 GBP.
