Job Description:

This role is based in West London, office-based, Monday to Friday, 9am to 5pm, with a salary up to £30,000 per annum.

Are you an organised, proactive team player who enjoys working in a busy, international environment? We’re looking for an Administrative Assistant to join a growing global software distributor supporting their Portugal and Brazil Sales Team.

This is a fantastic opportunity to be part of a close-knit, supportive team within a company that has offices across the UK, Europe, the Americas, and the Middle East – serving clients ranging from individuals and universities to governments, central banks, and global institutions.

Key Responsibilities:
  • Communicate with customers via phone and email, providing advice and quotes
  • Update customer details and sales activities in Salesforce
  • Process and track purchase orders, renewals, and client agreements
  • Liaise with internal teams to support the full sales and invoicing process
  • Support tender submissions and ensure regional compliance
  • Provide key support to the Sales & Marketing Manager for the PT & BR markets
  • Stay informed about new products, features, and sales targets
What We're Looking For:
  • Fluent in Portuguese and English (good knowledge of both European and Brazilian Portuguese is preferred, but not mandatory)
  • Strong administrative and organisational skills
  • A detail-oriented mindset with excellent communication skills
  • Comfortable juggling multiple tasks and working across teams
  • A team player who takes initiative and thrives in a fast-paced setting
  • Experience with Salesforce or similar CRM systems is a plus
