Job summary

M Group is seeking a Document Controller to join our Aviation projects near Gatwick Airport. You will support project managers, manage document control processes, and ensure accurate, timely documentation across civil and infrastructure assets.

You'll develop live trackers, coordinate transmittals, and maintain client portals with a proactive, detail-oriented approach. Prior Meridian/Asite familiarity is beneficial; training can be provided for the right candidate.

Qualifications

  • Experience with document management for civil/aviation projects.
  • Proficiency in Meridian or Asite is advantageous.
  • Excellent attention to detail and organisation.
  • Good knowledge of Excel, Word, and Adobe.

Responsibilities

  • Support project managers with document control across assets.
  • Manage document numbers, transmittals and live trackers.
  • Ensure timely documentation and quality-controlled outputs.
  • Liaise with clients and internal teams to maintain portals.

Aviation- Our Aviation team works across a wide range of specialist civil, mechanical and electrical engineering works including major international airports, regional airports and RAF airfields.

MGroup Transport (Aviation) are seeking a Document Controller to join our Maintenance team working with our document control and quality teams, covering some of the UK’s major airports, someone who is looking to be involved on a variety of challenging Projects.

Primarily supporting our Aviation client Gatwick Airport Limited – this role is based near Gatwick suitable for experienced document controllers looking to progress their career to the next level.

What will you be doing?

The Projects team provides technical services for a range of construction related disciplines, and activities, focused on delivering great service everyday supporting our clients’ primary assets to enable an extraordinary airport, fit for the future.

You’ll be supporting the Project Mangers and Site Managers with your expertise, managing and developing a reactive team in the quality and timely maintenance delivery for a variety of civil and infrastructure assets. You’ll also ensure workflow runs smoothly, ensure standard processes are followed by the team, review outputs for quality-controlled documentation, track performance, and manage software.

What you’ll bring
  • Ability to prepare, review, manage and file documents for specific projects. Copy, scan, store & distribute
  • Manage technical documents
  • Maintain an up-to-date folder containing hardcopies of all project drawings and the latest revisions as a minimum
  • Create, request, and manage document numbers
  • Submit documentation to the client for review using their management system
  • Attend project review meetings and report to the documentation manager routinely
  • Ability to assess the quality and properties of all incoming and outgoing official documentation
  • Navigate and routinely monitor the client’s project documentation portals
  • Maintain a good relationship with the client through communication
  • Ability to submit project documentation within the given timeframe and in line with the works programme, standards, and procedures - with the ability to prioritise workflow
  • Upload project documentation is stored and maintained within D&Bs internal EDMS correctly (workspace) and distributed where required
  • Create, populate & manage a live document tracker specific to the project to record every document and transmittal
  • Create, populate & manage a live transmittal register and issue sheet to log all external transmittals
  • Ability to assist the wider team – QS, CM, PM etc. with anything that maybe relevant to your role
  • Create a template or document when required
  • Retrieve and follow up files when required by employees and client
  • Organised and fine attention to detail
  • Proactive and methodical
  • Ability to prioritise own workload
  • Friendly with a good attitude towards work and deadlines, with the desire to progress
  • Works well under pressure, with the ability to take instruction when needed
  • Civil engineering background and/or aviation industry experience desirable
  • Good knowledge of Excel, Adobe & Word essential
  • Experience of document management system softwares such as Meridian and Asite would be advantageous
