Job summary

Galliford Try in Leicester is seeking a part-time Document Controller to manage and maintain project documentation throughout the lifecycle. You will ensure proper numbering, revision control, and distribution of drawings, specifications, and technical submissions, while supporting project teams and stakeholders.

You will administer document management platforms, track RFIs and TQs, and produce control reports, contributing to compliant information flow and auditable records for major projects.

Role Overview

The Document Controller is responsible for managing, controlling, distributing, and maintaining all project documentation throughout the project lifecycle. Working within a main contractor environment, the role ensures that all design, commercial, quality, and construction documents are accurately recorded, distributed, stored, and accessible in accordance with project procedures, client requirements, and company quality standards.

The Document Controller plays a key role in supporting effective communication between project teams, consultants, subcontractors, suppliers, and clients, ensuring document compliance and maintaining an auditable record of project information.

What You Will Be Doing:

  • Maintain the project's Common Data Environment (CDE) and document control systems.
  • Upload, register, distribute, track, and archive all project documentation.
  • Ensure documents are correctly numbered, formatted, and revision controlled in accordance with project protocols.
  • Process incoming and outgoing documentation within agreed timescales.
  • Maintain accurate document registers and status reports.
  • Monitor document workflows to ensure timely reviews and approvals.
  • Distribute drawings, specifications, schedules, reports, and technical submissions to relevant stakeholders.
  • Maintain drawing registers and monitor revision updates.
  • Ensure superseded documents are removed from circulation and archived appropriately.
  • Track Requests for Information (RFIs), Technical Queries (TQs), and design approvals.
  • Support Design Managers and Project Teams with document coordination activities.
  • Administer platforms such as Viewpoint or similar document management systems.
  • Manage user permissions and access rights.
  • Monitor system performance and maintain document integrity.
  • Produce regular document control reports and dashboards.
  • Support project mobilization and project close-out activities.
  • Coordinate document submissions to clients and external stakeholders.
  • Assist with collation of Operation & Maintenance (O&M) manuals and handover documentation.
  • Support quality management and audit processes.
  • Accuracy and completeness of project records.
  • Timely distribution and tracking of documentation.
  • Effective maintenance of project document control systems.
  • Compliance with company procedures and quality standards.
  • Support successful project delivery through robust information management.

About You:

  • Knowledge of document control procedures and revision management.
  • Experience using electronic document management systems.
  • Excellent organizational skills and attention to detail.
  • Proficient in Microsoft Office Suite.
  • Experience working for a main contractor on building, civil engineering, infrastructure, or fit-out projects.
  • Previous experience as a Document Controller within the construction industry.
  • GCSEs (or equivalent) including English and Mathematics.
  • Relevant administrative or business qualification or equivalent experience.
  • Experience using Viewpoint, or similar platforms.
  • Understanding construction project documentation and workflows.
  • Qualification in Document Control, Business Administration, Information Management, or Construction Management.
  • BIM or Information Management certification.
