Job summary

Balfour Beatty plc is seeking a proactive Document Controller for Derby to manage project documentation throughout the lifecycle, ensuring accurate registration, storage and distribution across the CDE/EDMS environment.

You'll coordinate with site teams, design consultants, subcontractors and suppliers, providing guidance on the use of our CDE and ensuring quality standards are met while supporting continuous improvement and sustainability objectives.

Qualifications

  • 2-3 years' experience in document control within construction
  • HNC/HND qualification advantageous
  • Site-based construction experience preferred
  • Experience developing document management procedures and QA documentation
  • Understanding BIM principles and their application in project delivery
  • Excellent IT skills and ability to learn new systems quickly
  • Strong organizational and planning skills, ability to manage multiple priorities
  • Excellent communication and interpersonal skills; collaborate across teams
  • Experience coordinating work of others to deliver documentation requirements

About the role

Balfour Beatty is looking for a highly organised and proactive Document Controller to join our team in Derby, supporting the delivery of a major project for Rolls-Royce. This is an exciting opportunity to play a key role in the successful management of project information, ensuring the accurate control, registration, storage, and distribution of critical project documentation across a complex and fast-paced environment.

Working closely with project teams, design consultants, subcontractors, customers, and suppliers, you'll act as the focal point for document management while providing expert guidance on the use of our Common Data Environment (CDE). As part of a collaborative team of Document Controllers, you'll help drive consistency, quality, and best practice across the project, whilst coaching and supporting stakeholders to ensure information is managed effectively and in line with project requirements.

What you'll be doing
  • Managing and controlling project documentation to ensure all information is accurately registered, distributed, tracked, stored and archived throughout the project lifecycle.
  • Supporting the identification of contractual document control requirements and ensuring information originators comply with all project obligations.
  • Reviewing documentation to ensure it meets project quality assurance standards and documentation specifications before distributing for technical review.
  • Coordinating the flow of drawings, specifications and project information between site teams, design teams, subcontractors, customers and external suppliers.
  • Ensuring robust governance procedures are implemented and maintained across the Common Data Environment (CDE) and Electronic Document Management Systems (EDMS), including Autodesk BIM 360 Docs, Viewpoint for Projects, Asite and Aconex.
  • Maintaining accurate control of project documentation from pre-construction through construction, handover and final archiving of as-built records.
  • Managing document control processes to ensure compliance with project standards and requirements established within the CDE.
  • Providing training, coaching and subject matter expertise to project teams and subcontractors on the efficient use of the project's CDE and document management systems.
  • Supporting project teams with document control procedures, ensuring a consistent understanding of system requirements and best practice across the project.
  • Maintaining efficient document archiving processes to ensure information is accessible, traceable and readily available when required.
  • Assisting with the compilation and management of project final deliverables, including Health & Safety files and Operations & Maintenance (O&M) manuals.
  • Working collaboratively with fellow Document Controllers to deliver high-quality document management support across the project.
  • Continuously reviewing and improving document control procedures, systems and ways of working to enhance efficiency and compliance.
  • Providing regular feedback to Design Managers and Project Managers, ensuring documentation issues are identified and addressed promptly.
  • Supporting the ongoing development and improvement of the CDE by identifying opportunities to enhance processes and user experience.
  • Championing Balfour Beatty's Values and maintaining a relentless focus on Zero Harm across all activities.
  • Supporting the delivery of Balfour Beatty's sustainability objectives and initiatives throughout the project.
Who we're looking for
  • Previous experience as a Document Controller within the construction industry, ideally with 2-3 years' experience in a similar role.
  • An HNC/HND qualification or equivalent would be advantageous.
  • Experience working on complex construction projects, preferably within a site-based environment.
  • Strong knowledge of electronic document management systems (EDMS) and confidence using a range of digital document control platforms.
  • Experience developing and maintaining document management procedures and quality assurance documentation specifications.
  • Proven ability to manage the distribution and control of project documentation in line with established distribution matrices and project requirements.
  • An understanding of Building Information Modelling (BIM) principles and their application within project delivery.
  • Excellent IT skills with the ability to quickly learn and utilise new systems and technologies.
  • Strong organisational and planning skills, with the ability to manage multiple priorities and see tasks through to completion.
  • Excellent communication and interpersonal skills, with the confidence to engage effectively with project teams, subcontractors and key stakeholders.
  • A collaborative approach and the ability to work effectively across multidisciplinary teams to achieve the best outcomes for the project and wider business.
  • Experience coordinating the work of others and supporting teams to deliver documentation requirements efficiently and accurately.
  • A proactive mindset with a continuous improvement approach to systems, processes and ways of working.
