Job summary

Walker's Shortbread Ltd. in Elgin is hiring for a full-time Despatch Office Administrator to support couriers, enquiries, and order progress with production.

The role covers arranging collections and hauliers, processing despatch paperwork, and coordinating with internal departments to ensure timely despatch. The position is 38 hours per week with standard office hours 08:00-16:30 Monday-Thursday and 08:00-14:30 Friday.

Qualifications

• Good IT skills with Microsoft 360 package preferred.
• Good verbal and written communication skills.
• Ability to prioritise workload and work on own initiative.
• Strong numeracy and attention to detail.
• Team player with reliable work ethic.

Responsibilities

• General administration duties within the department.
• Check orders progress from initial production to despatch to meet due dates.
• Arrange and produce despatch paperwork.
• Collate orders with warehouse staff and liaise with internal departments.
• Check emails and respond or escalate as needed.
• Answer phone calls and deal with external suppliers.

About The Role

We have an exciting opportunity to join our Elgin Despatch Team on a full time basis.

Your main focus will be responsible for the office duties covering couriers, enquiries, checking order progress with production, and arranging collections/hauliers. This is a permanent role, working 38 hours a week. Working hours:

08:00-16:30(M-Th)/08:00-14:30 (F)

Responsibilities include;

• General administration duties within the department
• Checking orders are progressing from initial production until despatch to meet despatch due fates on time, including liaising with internal departments
• Arranging and producing despatch paperwork
• Arranging for orders to be collated once complete with the warehouse staff and liaising with internal departments to allow the orders to despatch
• Checking emails, responding as needed or highlighting to senior members of the department ones they need to deal with.
• Answering phone calls
• Dealing with external suppliers as needed
