Data Entry Clerk - Diabetes

The closing date is 26 September 2025.

An opportunity has arisen for a Band 2 data entry clerk to support the Diabetes and Endocrine team.

The role is 26 hours per week and will be working in a team alongside two other Data Entry Clerks.

The post will involve registering patients onto SystmOne, scanning referrals, putting Consultant clinic lists onto SystmOne, administering waiting lists, entering eye screening reports and supporting administration/medical staff in a range of duties.

If successful your role will involve contact with patients, carers and other healthcare professionals. Good communication is key and we are looking for someone who can relate to a range of people and communicate sometimes complex information in an efficient and understandable way in a fast paced environment.

Main duties of the job
  • To provide comprehensive data entry support to the Consultants and junior medical staff, as well as the wider team.
  • The post will involve maintaining up to date patient records on SystmOne, creating rotas for clinic lists, scanning documentation, as well as dealing with any other patient-related general correspondence.
  • You will ensure that all clinic lists from the hospital EPR system are entered onto SystmOne and check them regularly for any changes before the clinic.
  • You will also deal with enquiries via email and telephone from various service users and other healthcare providers.
  • You should understand the strict guidelines of confidentiality and have the ability to prioritise and manage a diverse workload.

We have a centre for planned care in Bishop Auckland and provide care from community hospitals in Chester-le-Street, Shotley Bridge, Barnard Castle, Sedgefield and Weardale as well as over 80 other community based settings and providing care in patients\' homes.

From April 9th 2025 - Healthcare assistants - You must have a minimum of two years of experience working within the NHS as a HCA for the Trust to consider sponsorship (we will only consider sponsorship if you meet this criteria and have a current visa expiring within 3 months).

Job responsibilities
  • To input patient attendance data into SystmOne.
  • Registering patients and scanning referrals onto system.
  • Creating rotas for Consultant clinics and entering clinic lists onto system, ensuring these are checked and up to date prior to the clinic starting.
  • Ensuring patient and GP details are accurate and updated as necessary.
  • To deal with telephone enquiries and conveying messages appropriately.
  • To liaise with other staff regarding queries on data input information.
  • To sort incoming mail and prepare outgoing mail for posting.
  • Labelling correspondence for scanning into EPR.
  • Produce information/routine reports as required.
  • To prioritise own workload to meet the needs of the patients and Consultants and ensure all deadlines are met.
  • To provide cover as required during absence of colleagues.
  • To monitor urgent email inboxes and act accordingly on any queries.
  • Any other duties appropriate to the grade as delegated by the senior secretary.
Person Specification
Special Skills & Knowledge
  • Knowledge of computer packages e.g. Word, Excel, Outlook and Powerpoint. IT Skills. Ability to use email and maintain and update electronic diaries. Knowledge of Data Protection and Caldicott Principles and understanding of the need to maintain strict confidentiality. Good interpersonal skills. Excellent verbal and written communication skills, with the ability to deal with and prepare routine verbal and written correspondence and the ability to obtain information and pass on comprehensive and confidential messages. Ability to communicate accurately, verbally, courteously and effectively with a wide range of staff, professionals and members of the public. Able to use own initiative to resolve routine queries, in line with departmental procedures. Able to work with minimum supervision following set procedures. Ability to organise and prioritise workload in order to meet deadlines. Ability to work as a member of a team. Committed to quality customer care/delivering excellent customer service. Flexible approach to work and adaptable to change. Understanding of medical terminology.
  • Previous experience in use of EPR. Previous experience with SystmOne.
Special Requirements
  • Ability to travel independently across the County to fulfil the requirements of the post
Experience
  • Experience of a previous administrative role/data entry. Demonstrate experience of using Microsoft Word. Experience of setting up and maintaining office filing systems. Experience of maintaining and setting up databases. Experience of providing secretarial/administrative support to a team.
  • Experience of working within an NHS environment.
Qualifications
  • Good Standard of Education Minimum of 3 GCSEs (or equivalent) at C Grade or above including English Language. Keyboarding/typing qualification equivalent to RSA 3/OCR Advanced text/word processing or equivalent proven typing skills/data entry to a high standard (or working towards).
  • Knowledge of SystmOne
