Overview
We have a great opportunity for an individual to join our Plot Sales team as a Conveyancing Assistant in Birmingham. This role focuses on residential property and sits within the plot sales area of the team. You'll be supporting our Conveyancers in managing volume plot sales and residential property acquisitions for house builders and property companies. Your responsibilities will include assisting with transactions, maintaining accurate records, and helping ensure a smooth and efficient process for our clients.
Responsibilities
- Issuing transaction documentation - using the case management system to generate and issue standard contract and transaction documentation to solicitors and clients within the required timescales, together with exchange and completion documentation and correspondence at the relevant stages of a transaction or as requested by any member of the team.
- Portal, client management and reporting support - building and maintaining client portals, preparing for sales and purchases, arranging documents to be uploaded and downloaded to Worksite from external portals, and performing other duties as required to meet clients' requirements.
- File Management - receiving instructions from clients and actioning accordingly, preparing files for exchange and completion.
- Administration duties - assisting the Group with administrative duties as required; arrange meetings, coordinate UK and international travel, book reservations and manage related papers and itineraries; arrange photocopying, printing, couriers, letters, etc.; ensure short and long-term tasks are completed within required timescales.
- Stamp Duty Land Tax (SDLT) - submitting online applications for SDLT payments (using Landscape online system) and liaising with fee earners on any queries.
- Property searches and enquiries - assisting with property searches and enquiries (using Searchflow and Land Registry Portal) and liaising with appropriate authorities.
- Deeds management - producing deeds audits for clients and auditors, updating schedules and maintaining complete and accurate records of deeds received and despatched.
- Finance - creating bill requests, finance forms and completing spreadsheets with financial information; client reporting including financial data; acting as a point of contact for clients regarding portals and portfolios; supporting conveyancers to prepare statements and clear client account balances from files.
- Reporting - entering and updating data in spreadsheets for client reporting/updates (experience of Microsoft Excel is advantageous but not essential).
Qualifications and Skills
- As part of the team, you will work in an inclusive, collaborative, and supportive environment. Previous experience in a legal setting is beneficial but not essential.
- The ideal candidate will be calm under pressure, able to manage workload by prioritising effectively, and able to work with others within project teams. Strong communication skills are important for engaging with colleagues, clients, agents, and other contacts across in person, phone, email, and written correspondence.
- Proactive with the ability to use initiative to solve problems and resolve queries; maintain financial hygiene and use finance reporting and billing systems confidently.
- Being able to conduct searches, carry out research and analysis, and respond to enquiries is expected.
