Purpose:

The role holder is responsible for Contract Administration activities reporting into the Procurement function and supporting the Contract Holder/Contract Company Representative, in the effective administration of Contracts within the area of competence.

Main Accountabilities and Responsibilities:
  1. Responsible for Contract Administration activities within their competence in accordance with applicable Regulatory Framework.
  2. Provides support to Contract Holder / Compliance, Vendor Management, and Reporting Coordinator / Procurement Manager on post-award contract management issues.
  3. Attends handover and kick-off meetings, and progress meetings with relevant internal functions.
  4. Prepares minutes of meetings within their competence.
  5. Monitors key performance indicators of assigned contracts, such as spending progress and expiry dates.
  6. Verifies that contractors have supplied all required documentation to meet contractual obligations.
  7. Notifies Contract Holder/User Unit of irregularities during contract execution.
  8. Collects performance information and obtains approval for feedback.
  9. Reviews requests for contract changes and assesses disputes for admissibility and applicability.
  10. Captures and shares lessons learned within the company.
  11. Reviews claims and applies liquidated damages or discounts as per contract.
  12. Assists in preparing and reviewing correspondence with contractors.
  13. Handles communication with contractors, ensuring traceability and involving relevant functions.
Qualifications & Experience:

Minimum of 5 years relevant experience in Contract Administration.

Required Skills:
  • Knowledge of regulations applicable to contracts and subcontracts.
  • Understanding of Contract Terms and Conditions, especially in the Energy Sector.
  • Knowledge of Health, Safety, and Environment requirements in contracts.
  • Familiarity with Technical Specifications and standards.
Personal Traits:
  • Systematic thinker with good organizational and time management skills.
  • Effective communicator for liaising with stakeholders.
  • Analytical thinker with risk assessment skills.
  • Capable of managing multiple contracts and tracking progress.
  • Attention to detail and problem-solving abilities.
  • Strong organizational and legal knowledge.
  • Proficient in MS Office, SAP, and similar tools.
  • Fluent in English; Italian is a plus but not required.
