Job summary

South Staffordshire Limited is seeking a Completions administrator to support the Completions Team Leader and the wider team with day-to-day administrative tasks within the compliance function. The role aims to help the apprentice develop practical workplace skills, build confidence and gain knowledge of records, utility documentation and compliance processes.

Responsibilities

  • Keep reports up to date by coordinating with departments and providing weekly updates.
  • Respond to records queries via the records inbox.
  • Review service cards to ensure they meet utility specifications.
  • Verify dimensions and asset details on water, gas and electric records.
  • Update Solutions Domain with service dates and meter serial numbers.
  • Prepare documentation for each plot and share with the network adopter.
  • Review monthly missing records, recover or investigate as needed.
  • Uphold health, safety and wellbeing responsibilities.
  • Treat all employees and stakeholders with dignity and respect.
  • Carry out other reasonable duties as needed.

The Role:

The Completions administrator will support the Completions Team Leader and wider completions team with day‑to‑day administrative tasks within the compliance team. The role is designed to help the apprentice develop practical workplace skills, build confidence and gain knowledge of records, utility documentation and compliance processes.

Working with guidance and support, the administrator will assist with checking records for accuracy, updating relevant systems and spreadsheets, responding to records queries and helping ensure information is sent to the correct utility companies or network adopters. This role will also involve liaising with colleagues across departments to help progress outstanding actions and maintain accurate, up‑to‑date records.

Key Responsibilities:

  • Ensure reports are kept fully up to date by liaising with departments to resolve outstanding actions and providing weekly updates.
  • Respond to incoming records queries received through the records inbox.
  • Review water, gas and electric service cards to ensure they are completed in line with utility company specifications.
  • Check that all dimensions and asset details are accurate on water, gas and electric as‑laid records
  • Update Solutions Domain for water, gas, electric and including service completion dates and meter serial numbers.
  • Provide documentation for each individual plot attached to service job cards or mains packs and issue it to the relevant network adopter.
  • Review the monthly missing records spreadsheet, recover records where possible, and investigate any outstanding missing records.
  • Take responsibility for personal health, safety and wellbeing, and carry out the health and safety duties and responsibilities associated with the role.
  • Treat all employees, customers and stakeholders with dignity and respect.
  • Carry out any other reasonable and necessary duties within the remit of the role. The nature of the duties may change and develop according to the needs of the organisation.

What You’ll Need:

Experience / Knowledge
  • Able to organise workload, follow instructions and manage priorities with support, ensuring administrative tasks are completed accurately and within agreed timescales.
  • Good communication skills, with the confidence to ask questions, seek clarification and communicate clearly and professionally with colleagues, customers and stakeholders.
  • Basic IT skills, including confidence using Microsoft Office applications such as Word, Excel and Outlook, with a willingness to learn new systems through training.
  • Strong attention to detail and a careful approach to checking records, entering data, maintaining files and reviewing documentation.
  • Positive attitude to learning, with a willingness to develop knowledge of administrative processes, record keeping, customer service and compliance requirements.
  • Reliable, proactive and able to work as part of a team while developing confidence to work independently on routine administrative tasks.
Education / Qualifications
  • GCSEs (or equivalent) in English and Maths.
  • Strong written communication, basic numeracy, and administrative skills are required, along with a willingness to complete any necessary training or functional skills qualifications where applicable.
