Our Administration team is seeking a Client Support Administrator. You will provide a quality administration service to support our business, We are seeking a proactive and polished client facing professional to be the first point of contact, the face of our company, representing our values and culture at the forefront of visitor experiences. This role is vital in ensuring that clients, guests, and team members receive a warm and seamless welcome and that our front-of-house operations run efficiently. The ideal candidate will demonstrate exceptional professionalism, organisational skills, and a commitment to enhancing our workplace culture.

The Duncan & Toplis group is one of the UK’s top regional accountancy firms, specialising in accountancy, tax, and business advice, as well as supporting clients with legal services, IT support, and wealth management. Established in 1925, the team provide services to more than 12,000 businesses and individuals. We help each other as well as our communities, taking our social responsibility seriously by supporting local initiatives through the Duncan & Toplis Foundation.

Your responsibilities

Here's a bit more on what you can expect to be doing day-to-day:

  • Visitor Experience: Serve as the first point of contact for all visitors, ensuring a welcoming and respectful experience that reflects our company’s commitment to integrity and excellence. Provide assistance with visitor needs and direct them appropriately.
  • Reception & Public Area Maintenance: Ensure that the reception area and common spaces are consistently clean, organised, and representative of our high standards. Monitor the space daily to maintain a professional and inviting atmosphere.
  • Telephone Operations: Handle the main telephone line, answering calls promptly and directing them with accuracy and courtesy. Ensure professional communication and message-taking at all times.
  • Meeting Room Coordination: Manage meeting room bookings, setting up spaces to meet specific requirements for client and team meetings. Provide support to ensure smooth transitions between meetings and efficient use of resources.
  • Client & Team Meeting Support: Assist in organising and coordinating client and internal meetings, supporting logistics and ensuring timely setup and follow-through on action items.
  • Administrative Duties: Oversee filing, mail, and document management, ensuring that documents are handled, stored, and processed in a timely manner.
  • Team Collaboration & Operational Support: Work closely with the client delivery teams and other office locations on daily administrative tasks and operational requirements, fostering a collaborative and supportive team environment.

  • Technical: Strong IT skills with a working knowledge of Microsoft Office 365 products, essentially within outlook and word
