Job description

We have an opportunity for an experienced support individual willing to support across several offices in the southwest; therefore, the ability to travel is essential.

Role Outline

This role will be based in Southampton, but you will be required to travel frequently to Bristol and Cardiff, and possibly to other UK offices to provide cover where applicable. You will provide an internal customer-focused support service to the business, particularly for fee-earning staff requiring support with day-to-day operational tasks. You must demonstrate effective organizational skills, teamwork, and the ability to follow processes and provide guidance to others. You may also support wider business topics as needed.

Key Accountabilities
  1. Monitor and record all visitors to adhere to office security protocols.
  2. Conduct regular checks and reporting to support audits, health and safety, and office compliance.
  3. Ensure office health & safety by reporting hazards and escalating issues.
  4. Travel to other offices to provide support.
  5. Support facilities, including maintenance visits, issue reporting, and ensuring smooth office operations.
  6. Monitor and order stationery and catering supplies.
  7. Process inbound and outbound post, business deliveries, and packages.
  8. Assist with reception calls where applicable.
  9. Update and amend documents using applications such as Bluebeam, PowerPoint, Publisher, Visio, Word, Excel, MS Forms.
  10. Raise POs, cheques, BACS payments as needed.
  11. Handle printing, binding, posting, and courier bookings as required.
  12. Book travel, accommodation, and car hire.
  13. Order, release, and track PPE for staff, escalating out-of-date items.
  14. Undertake other duties necessary to maintain service levels and compliance.
  15. Provide out-of-hours support when required.
  16. Support security-cleared tasks if applicable.
Skills, Knowledge, and Experience
  1. Excellent interpersonal and communication skills.
  2. Friendly, approachable, and professional customer service skills.
  3. Ability to multitask, organize, prioritize, and remain calm under pressure.
  4. Willingness to learn and utilize new skills.
  5. Ability to work independently and as part of a team.
  6. Flexibility and adaptability.
  7. Good knowledge of Microsoft Office Suite and online applications.
  8. Experience in hospitality and catering is preferable.
