Qualifications

RDA is a successful and innovative design and installation company. We specialise in all areas of the catering, hospitality, workspace & retail industries.

The Role

The Business Support Administrator will have responsibility for undertaking a variety of administrative and commercial tasks, whilst liaising with the RDA team and supply chain as required. The Business Support Administrator will also have responsibility for RDA’s head office environment, including office services and incoming communications. They will often be the first point of contact for visitors, suppliers and clients, so would be expected to portray the company in a professional and friendly manner at all times.

Administration Responsibilities

·Answering incoming office calls and diverting to the team as required

·Incoming post/outgoing post/couriers

·Managing stock of kitchen provisions and office consumables/stationary

·Meet and greet visitors

·Managing cleaners/window cleaner/hygiene services/refuse collection/alarm/security/fire detection suppliers and servicing as required

·Travel, hotel and event/Christmas bookings as required

·Office purchases with company credit card

·Assistance with booking MOT’s. Servicing, Tyres, insurance claims etc. for company vehicles

·Assist with management of the companies accreditations, overall management system and annual audit processes, always seeking to identify improvements.

·Manage staff CPD log and any training requirements

·Manage company insurance policies via companies insurance broker and be responsible for seeking renewal quotes annually

·Manage external H&S consultants requirements and be responsible for seeking renewal quotes annually

·H&S / O&M files assistance to Project Managers

·Handle warranty calls made direct by the client and/or referred internally and be generally responsible for the companies after sales service

·Archiving paperwork into digital format wherever possible and maintaining maximum levels of recyclable waste disposal

Commercial Responsibilities

·Project procurement and purchasing assistance to the commercial team

·Assistance with purchase invoice processing

·Assistance with sales invoice requests to the Accounts Manager

·Supplier and client PQQ documents / Account opening documents / tender assistance

·Project purchases with company credit card

General Responsibilities

·Contribute to general staff update meetings, share ideas with colleagues and offer support to other members of the team where necessary

·Always seek to identify new business opportunities for the Company, referring any potential lead to the Directors

·Alongside the other members RDA, continually review & improve internal processes, with the aims of Increasing RDA’s reputation in the industry, making RDA more competitive and more profitable.

·Build a good rapport with all suppliers and company stakeholders and portray a professional image of the Company at all times

·28 days holiday entitlement, increasing by 1 day per full years’ service, up to a maximum of 33 days.

Person Specification

Required Experience / Qualifications

·Minimum 4 years’ experience in a similar role

·10 GCSE’s (including Maths, English & Science A-C grades)

Required Skills & Abilities

·Highly confident in dealing with clients, suppliers and visitors on a daily basis

·Accomplished IT and Office 365 user for email management, file management cloud storage, excel etc.

·Confident and experienced telephone and meeting manner

·Experienced at quality organisation, prioritising and problem solving

Required Personal Attributes

·Sociable team member, able to build a good rapport with all staff and suppliers.

·Personable, approachable, and confident team member, demonstrating loyalty and commitment to the business.

·Open to innovation and working with evolving software and new technologies toimprove the way we work

·HND or equivalent qualification in a business, administration or procurement related subject

·Experience of working in the hospitality & catering design & fit out sector

·Managing warranty and service calls

·Working on company accreditations and PQQ documents

·First Aid at Work training

·Usage of SAGE software
