Job description

We are looking for a highly motivated and experienced Business Operations Manager to join our team at Bowland Medical Practice. We are a well-established training practice with a population of approximately 8,000 patients. This is an exciting opportunity for someone with management and strategic planning experience to develop the practice. As a key member of our management team, you will work closely with clinical and administrative staff as well as external stakeholders to ensure the delivery of high-quality care.

Main duties of the job

The practice Business Operations Manager is responsible for overseeing business development, financial activities, governance, and strategic development of the practice. The successful candidate will work closely with the partners to develop and deliver the business and financial strategy. They will provide strategic leadership, ensuring the delivery of excellent patient care. The position involves collaboration with the GP partners, with protected management time, and our practice manager.

About us

Bowland Medical Practice is a well-established training practice hosting GP specialty trainees and medical students. We have seven GP partners, along with practice nurses and allied health professionals. We are a friendly and dynamic team committed to providing high-quality care to our local population of approximately 8,000 patients. We actively participate in research and development with RSI Level 3 accreditation. Our in-house services include physiotherapy, podiatry, mental health, and pharmacy services.

Job responsibilities

The core responsibilities of the Practice Business Operations Manager may evolve over time:

  1. Organisational
    • Overseeing the operations of the practice
    • Leading change and continuous improvement initiatives
    • Reviewing and updating all practice policies and procedures
    • Developing, implementing, and embedding an efficient business resilience plan
    • Ensuring the team reaches QOF targets
    • Maintaining compliance with CQC regulations and registration
    • Managing projects to deliver new systems, services, and procedures within time and budget
    • Managing IT data systems securely and compliantly
    • Deputising for the partners at meetings
    • Acting as the primary contact for NHS(E), ICB, community services, suppliers, and external stakeholders
    • Monitoring practice performance
  2. Business Development
    • Providing strategic leadership within the Primary Care Network and local stakeholder organisations
    • Identifying new funding sources and opportunities
    • Writing bids for funding and collaborating with partner organisations
  3. HR
    • Maintaining governance and adherence to best practices
    • Overseeing the practice’s financial health, including budgeting, income, and expenditure
    • Managing invoices and expenses with proper records
    • Producing monthly financial reports for partners
    • Maintaining relationships with accountancy providers
    • Managing contractual reporting and supporting the production of annual reports and accounts
    • Managing service contracts aligned with strategic priorities
  4. Premises and Equipment
    • Overseeing and planning all practice IT systems, delegating administrative staff as needed
    • Ensuring IT security and information governance compliance
