Job summary

Hopwood Hall College is seeking an Apprenticeship Administrative Assistant to support the Apprenticeship team with sign-up paperwork, skills management, end point assessment planning, and data input. You will deliver courteous customer service, ensure ESFA compliance, organise inductions with Recruitment & Compliance Officers and maintain accurate learner data across the DAS/ AO systems.

The role requires flexible working, good IT skills, and the ability to work across teams to improve

Qualifications

  • Experience in delivering administrative support within an Apprenticeship or education environment.
  • Proficient in Microsoft Office and handling data accurately.
  • Ability to be flexible and multi-skilled to respond to changing priorities.

Responsibilities

  • Provide comprehensive Apprenticeship administrative support to the team.
  • Ensure Apprenticeships Service quality meets customer needs and ESFA rules.
  • Organise induction activities with Recruitment & Compliance Officers to meet funding rules.

Job description

To work flexibly to provide a comprehensive Apprenticeship administrative function for the College that will include apprenticeship sign-up paperwork, functional skills management, end point assessment planning, and data input.

Key Responsibilities
  • To deliver a high standard of customer service and administrative support for the Apprenticeship team
  • To ensure that the Apprenticeships Service is of a high quality and fully meets the needs of the customers
  • To organise and plan apprenticeship inductions with the Recruitment & Compliance Officers to meet ESFA compliance in accordance with the funding rules#
  • To develop and maintain a high degree of understanding of the Apprenticeship Standards and Assessment Organisations
  • To ensure that apprenticeship sign-up paperwork is processed correctly and safely stored digitally
  • To work alongside the administration team and support the Recruitment & Compliance Officers in developing and maintaining high levels of data accuracy, customer service and responsiveness through all aspects of Apprenticeship programme, including Functional Skills processes
  • To support the Recruitment and Compliance Officers in their vacancy posting and recruitment of candidates
  • To develop and maintain a high degree of understanding of the Apprentice funding methodology to contribute to constantly improving individual and team performance
  • To develop and enhance skills and knowledge of the apprenticeship tracking and to maintain our learner management system (Maytas) and other associated software applications to deliver a consistently high level of data accuracy/validity (assessment organisations (AO), Digital Apprenticeship Service (DAS)
  • To provide administrative support to the Data & Compliance Manager, Apprenticeship Managers and Director of Apprenticeships
  • To ensure that College standards are worked to and maintained
  • Ensure continuous development and improvement of personal professional knowledge
  • Any other duties of a similar level of responsibility may be required.
Skills, Knowledge and Expertise
Qualifications Essential Criteria
  • Educated to a minimum of level three qualification
  • Minimum of level two English and maths qualifications
