Job description

Overview

Eddison’s are a leading firm of chartered surveyors, working in fast moving and dynamic markets across the UK. Established in 1844 and operating from over thirty offices throughout the UK, our people deliver expert advice and a comprehensive range of professional services to property owners and occupiers, businesses, and financial institutions. We pride ourselves on our ability to deliver highly effective and innovative solutions for our clients.

To support momentum, the Bid Team is seeking to appoint a Bid Coordinator who will contribute across various key areas:

  • Identifying and researching new framework opportunities aligned with our office locations and sector coverage, enhancing our engagement with local authority contracts.
  • Assisting with the preparation and submission of detailed supplier questionnaires and supporting documents.
  • Reviewing daily tender alerts and portal notifications, registering on relevant portals, submitting expressions of interest, downloading tender documents, and coordinating internal bid/no-bid decisions.
  • Maintaining project documentation, including creating new bid folders and updating our internal Bid Tracker with opportunity details and outcomes.
  • Monitoring and managing communications to shared bid-related inboxes, such as ‘Bids’ and ‘CCS’.
  • Supporting the increasing number of frameworks through management information returns and assisting clients and staff with the Direct Award process.
  • Recording and reporting Social Value contributions, which is becoming increasingly important under the new Procurement Act.
  • Managing and updating our Bid Library to ensure access to current collateral, templates, and model responses.
  • Assisting with supply chain management tasks, which are currently under-resourced.

This role is instrumental in helping us streamline our growing workload and administrative demands. By enabling the core team to focus more on bid writing and strategic project management, we anticipate this investment will contribute significantly to increased revenue.

Job Description

As part of our expanding bid team, the Bid Coordinator will play a crucial supporting role by:

  • Monitoring and responding to emails in the team’s shared inboxes from both colleagues and clients.
  • Reviewing daily tender notifications, logging relevant opportunities into Microsoft Dynamics, preparing summaries and bid packs for internal circulation, and updating the Bid Tracker.
  • Assisting with the completion and submission of Supplier Questionnaires (SQs), Requests for Information (RFIs), and contributing to Invitation to Tender (ITT) responses.
  • Maintaining and enriching our bid library and helping to standardise collateral across service lines.
  • Working alongside the Framework Manager and Deputy Framework Manager to oversee framework operations and submit MI returns as required.
  • Exhibiting strong organisational and project management skills, and effectively communicating with stakeholders at all levels.
  • Demonstrating high attention to detail and a proactive, solutions-focused mindset.
  • Thriving in a dynamic environment with the ability to manage competing priorities and meet tight deadlines.
  • Bringing a collaborative spirit and a positive, “can-do” attitude.

This is a fantastic opportunity to become a valued member of a high-performing bid team, ideal for someone looking to build a long-term career in bid management and coordination.
