We’re searching for a Bid Coordinator to join us on a permanent basis working hybrid from our Coventry, Binley office. The key focus of the role is to provide administrative support to the Bid Team.
Responsibilities
- Searching available services for a range of Tendering opportunities using predefined criteria
- Carry out initial filtering of opportunities (after training and guidance)
- Administrate the management of the opportunities through to submission
- Maintain filing systems and follow process
- Monitoring Inboxes efficiently and effectively for all bid related traffic - Co-ordinate the emails and communicate to the relevant stakeholders within the business.
- Managing clarification processes – via clarification logs - for all bids ensure all stakeholders have information in a timely manner and are fully aware of any specific implications.
- Support of submitting high-quality PQQ’s and tender submissions in a timely manner, that upon successful completion and subsequent award, either as new or retained business.
- You will provide a central coordinated support to the Bid Team by: Setting up Kick off calls and subsequent review/commercial calls etc through online diary system
- Manage and complete the initial stages of the Tendering opportunity – Expressions of Interest, Forms of Tender etc
- You will: Complete SAQs [Supplier Approval Questionnaires] and PQQ submissions [supported by the Senior Bid Coordinator] for selected new and existing customers, by specified deadlines and in accordance with Sector tendering guidelines. Adhere to strict submission deadlines and organise own workload appropriately
- Additional Team Tasks: Working with the rest of the Bid Team to develop an effective library of information and liaise with other departments to keep this updated - specifically ensuring all Company related information is up to date and effectively accessible. Carry out any other such reasonable job related tasks as the company may require from time to time. This list is not exclusive - other reasonable duties and projects may be assigned from time to time.
Qualifications and Experience
- Essential Proven experience of working in a very busy fast paced environment
- Excellent time-management and organisation skills
- Attention to detail
- Excellent communicator - Skills in questioning are an advantage
- Excellent IT skills – Including proficiency in all MS Office applications and CRM / Database systems
- English and Maths GCSE – as a minimum
- Desirable Industry Experience
- Public Sector knowledge – OJEU familiarity
- Bid Process knowledge
- CRM / Database Experience
- Strong GCSE and/or A level results
