Job description

Are you ready to kickstart your career in a vibrant and supportive environment? We are seeking an Administrative Assistant to join our dynamic team at Craigavon Area Hospital Department. This is an exciting opportunity to make a meaningful impact while developing your skills.

Position: Administrative Assistant
Location: Craigavon Area Hospital Department
Hours: 32.5 hours per week (exclusive of meal times)
Pay: Competitive
Type: Temporary, with flexible working provisions available
Start Date: As soon as possible


What You'll Do:

  1. Referral Management: Register incoming referrals for Cardiac investigations on the computerised system (TOMCAT) and add to relevant waiting lists.
  2. Protocol Compliance: Ensure that all referrals are processed in line with protocols for timely prioritisation (Urgent, managed, and routine).
  3. Booking Implementation: Fully implement booking using the waiting list by contacting patients as required and issuing letters.
  4. Telephone Communication: Answer calls and deal with inquiries from various callers, including the public and other Trust staff.
  5. Conflict Resolution: Use interpersonal skills to defuse complex or contentious calls.
  6. Appointment Notifications: Assist in notifying of cancelled appointments and record information on TOMCAT regarding specific Cardiac Investigation results.
  7. Record Management: Maintain, update, file, and retrieve departmental records, both manual and electronic.
  8. Administrative Support: Provide cover for colleagues within the Cardiology department as required.

  1. You have relevant qualifications and experience in administrative roles.
  2. You possess excellent organisational skills and attention to detail.
  3. You are proficient in Microsoft Office applications and can manage multiple tasks efficiently.
