Job Summary

The Ministry of Defence employs over 50,000 Civil Servants. Within that, the Army Top Level Budget (TLB) employs around 7,000 MOD Civil Servants located at over 300 locations. Ours is a diverse workforce, with roles ranging from trainers, human resources, teachers, and psychologists to storekeepers, financiers, project and programme managers, and policy secretariat staff. There are many different functions and professions delivering key outputs for the Army.

This is an exciting opportunity for an organised and dynamic person to join a busy Army Reserve Battery support Team to play a crucial role in supporting trained Royal Artillery Service persons as they prepare for operations at home. You will be working with a mixed workforce of Regular and Reserve Soldiers as well as civil servants. The organisation provides a friendly and supportive family atmosphere for all who work here.

This exciting and fulfilling role provides a meaningful opportunity supporting the operational readiness of Royal Artillery soldiers ready to mobilise in operations, at home and around the world. The applicant will provide administrative support to all Battery personnel whilst ensuring efficient management of records, communications, and documentation.

This position is advertised at 37 hours per week.

Job Description

As the Admin Officer, you will integral to the day- to-day management of administrative support to Royal Artillery Officers and Soldiers. Your main responsibilities will include:

  • Manage and update personnel records
  • Administer the pay and personnel details using MOD systems
  • Assist in the annual cycle of audits; external and internal inspections
  • Responsible for raising security clearance (SC) requests
  • Maintenance of all filing systems including receipt, dispatch, and distribution of mail
  • Provide the full range of first line efficient administrative support to all Battery personnel
  • Process and manage the inputting of all Reserve Forces Attendance Pay System and allowances ensuring all attendance are processed in a timely fashion
  • Update Monthly Management Checks and run JPA report weekly, monthly, quarterly as per Regiment Battle Rhythm
  • Maintaining and controlling all users of DEFNET as the Authorised Demander. Ensure all electronic files are stored and distributed in accordance with policy
  • The continued monitoring of all Battey personnel, including non-attenders, medical queries and Individual Training Requirements failures and processing arrival/discharges and attestation process as appropriate
  • Provide safe working environment within your area of responsibilities and work-station/desk/office in line with current SHE policy
  • Other duties as required

Person specification

We are looking for a dedicated Admin officer to join our team. The successful candidate will need to be organised, diligent, possess good IT Skills and above all be a good communicator.
