Job description

This role requires a skilled team receptionist to provide efficient administrative support to the Community Forensic Services based at Westminster House, Mapperley.

The ideal candidate will be friendly, caring, energetic, and able to work independently and as part of a team. A positive can-do attitude and initiative are essential.

Responsibilities include:

  1. Welcoming clients and visitors, checking them in, and signing the visitors' book.
  2. Ordering equipment via the procurement system.
  3. Logging building issues with Estates & Facilities.
  4. Conducting weekly building checks, monitoring cameras, and staff personal alarms.
  5. Meeting and greeting patients, visitors, and staff; handling face-to-face and telephone inquiries.
  6. Maintaining healthcare records using computerized systems and databases.
  7. Managing internal and external calls, ensuring messages are appropriately signposted and acted upon.
  8. Preparing clinics with up-to-date records.
  9. Typing correspondence, including letters, memos, and reports.
  10. Coordinating healthcare appointments.
  11. Implementing and maintaining filing and follow-up systems.
  12. Transferring files for archiving.
  13. Filing, photocopying, scanning, and attaching documents.
  14. Inputting and maintaining clinical data.
  15. Identifying relevant health and safety practices.
  16. Participating in training and personal development.
  17. Supporting service demands by being flexible and covering other areas as needed.
  18. Performing any other reasonable duties related to the role.
