Job summary

Primary Talent International is seeking an organised, admin-heavy assistant to support its busy London office. The role requires meticulous database management, tight communication with clients, artists and managers, and strong time management in a fast-paced environment.

You will raise, proofread and issue contracts using bespoke software, oversee invoice and tax related processes, and maintain central diaries and filing.

Qualifications

  • Experience coordinating with touring artists and industry professionals.
  • Strong background in issuing and checking live performance artist contracts.
  • Proven ability to chase payments, tax and VAT related to tours.
  • Proficient on Mac computers; advanced skills in Excel, Word, Apple Mail, and cloud tools.

Responsibilities

  • Managing promoter and artist Terms of Business and updating database records.
  • Chasing signed contracts, amendments and overseeing tax/VAT considerations.

  • Logging ticket sales, managing show payments and diary entries.

Job description

The position is to assist an agent at Primary Talent International.

The role is based full time at Primary Talent International office in London.

The applicant must have extremely competent organisational and planning skills.

They must be able to work closely within a tight knit team of people and can communicate and intensively liaise with Clients, Artists & Managers on all levels.

The successful candidate will be expected to keep exceptional levels of digital organisation and database record keeping.

The role is very admin heavy, therefore the applicant is expected to have exceptional time management skills, quick prioritisation in a fast-paced environment.

Applicants should have a very strong background in:

  • Experience with touring Artists
  • Issuing and checking live performance artist contracts
  • Chasing and understanding money / performance tax / VAT
  • Other essential and desirable skills: Proficient on Mac computers and programmes such as Excel and Word as well as Apple Email. Knowledge of online productivity tools such as Google Drive/Docs/Sheets, Dropbox

Duties including but not limited to:
Contracting and admin:

  • Raising, proof reading and issuing a large quantity of contracts within a short timeframe using bespoke contracting software, Dealmaker.
  • Issuing and chasing promoter and artist ‘Terms of Business’.
  • Updating and overseeing database records with high accuracy.
  • Chasing signed contracts and dealing with requested amendments.
  • Dealing with any possible tax reduction opportunities through splitting contracts and/or invoices.
  • Maintaining a digital filling system to make sure all paperwork is accessible easily.
  • Checking invoices thoroughly to make sure facts and figures match what is required by contract.
  • Chasing and managing show payments, tax deductions, VAT etc.
  • Adding all bookings to central company diary, and maintaining datesheets.
  • Requesting invoices from artists / management and ensuring they remain consistent with the agreed conditions.
  • Understanding, and where necessary obtaining tax documents to reduce performance tax in certain territories (A1’s, TAJA forms) and VAT numbers from promoters where applicable.
  • Insuring show commission on shows.
  • Logging ticket sales + sending reports.
  • Checking and updating artist pages on Primary Talent’s website (tour dates, new biographies / photos), and checking currency of information / tour dates on artists’ web pages.

Logistics:

  • Visas: Raising applications for artist UK work permits (CoS’s), and overseeing the visa / work permit application process
  • Extensively liaising and working with performing artists, either directly or with managers – ensuring that all requirements are met

General office

  • Answering telephone enquiries, and reception cover.
