Job summary

Office Angels in Parsons Green, London is seeking an Administrator / Scheduler for a permanent, full-time role. You will be the main point of contact for customers, scheduling works for engineers and maintaining accurate records and invoices.

Qualifications

  • Experience in scheduling, planning or administration.
  • Experience scheduling engineers or field-based staff is ideal.

  • Excellent written and verbal communication.

Responsibilities

  • Act as the first point of contact for customers via telephone, email, WhatsApp and other channels.
  • Log, assess and process enquiries to schedule works efficiently.
  • Coordinate and schedule works for field-based engineers and manage diaries.
  • Monitor engineer availability and allocate jobs to maximise productivity.
  • Maintain scheduling and job management records with accuracy.
  • Liaise with customers to arrange appointments and communicate changes.
  • Prioritise reactive, emergency and planned maintenance works.
  • Work with engineers to adjust schedules as priorities change.
  • Prepare invoices and supporting documentation, ensuring timely distribution.
  • Follow up on quotations and outstanding enquiries to support growth.
  • Monitor shared inboxes and respond promptly to enquiries.
  • Provide general administrative support and document management.
  • Build and maintain strong customer relationships through responsive service.

Salary: Up to 35,000 per annum (dependent on experience)

Are you an organised and customer-focused professional with experience in scheduling, coordination, or administration? Our client, a growing electrical services business, is seeking an experienced Administrator / Scheduler to join their supportive team. This is an excellent opportunity to play a key role in customer service, resource planning, and the day-to-day coordination of engineering services.

Key Responsibilities:
  • Act as the first point of contact for customers, handling enquiries via telephone, email, WhatsApp, and other communication channels in a professional and timely manner.
  • Log, assess, and process customer enquiries, gathering all relevant information to ensure works are scheduled efficiently and accurately.
  • Coordinate and schedule works for a team of field-based engineers, ensuring diaries are effectively managed and workloads are optimised.
  • Monitor engineer availability and allocate jobs proactively to maximise productivity and minimise downtime.
  • Maintain and update scheduling and job management systems with accurate customer, appointment, and job information.
  • Liaise with customers to arrange appointments, confirm attendance times, and communicate any schedule changes or delays.
  • Prioritise reactive, emergency, and planned maintenance works to ensure customer expectations and service levels are met.
  • Work closely with engineers to monitor job progress, reschedule appointments where necessary, and respond effectively to changing priorities.
  • Maintain accurate records of customer interactions, job requests, and completed works.
  • Prepare and issue invoices and supporting documentation, ensuring accuracy and timely distribution.
  • Follow up on quotations, outstanding enquiries, and customer requests to support business growth and customer satisfaction.
  • Monitor shared inboxes and communication channels, ensuring all enquiries receive a prompt response.
  • Provide general administrative support, including document management, filing, and record keeping.
  • Build and maintain strong customer relationships through professional and responsive service.
Key Requirements:
  • Previous experience in a Scheduling, Planning, Coordination, or Administrative role.
  • Experience scheduling engineers, contractors, or field-based employees.
  • Previous experience within the electrical, construction, engineering, maintenance, or facilities management sectors is desirable.
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Experience liaising with customers, suppliers, engineers, and internal stakeholders.
  • Proficiency in Microsoft Office applications, particularly Outlook, Excel, and Word.
  • Experience using scheduling, workforce planning, or job management systems.
  • Strong attention to detail and ability to maintain accurate records.
  • Ability to remain calm under pressure and adapt to changing priorities.
  • Professional and confident telephone manner.
  • A commitment to delivering outstanding customer service.
